How to Create and Manage Offstreet Parking Registrations

This guide provides a walkthrough for creating and managing parking registrations in the Offstreet Dashboard. It covers everything from initial registration, editing and canceling registrations, to sending confirmation receipts and performing vehicle lookups.

Create a New Registration

Navigate to [https://dashboard.offstreet.io/dashboard](https://dashboard.offstreet.io/dashboard)

Click the Permits dropdown.

Click “Create Registration” This will open the form used to create a new parking registration for your guest.

Note: Depending on your account access, the Location, Tenant, or Registration Settings fields below may already be pre-selected for you. If you have access to multiple options, you will be able to choose from the dropdowns as shown in the steps below.

Click “Select Location” and choose the appropriate location. You can scroll through the list or use the search bar to quickly find the correct location.

Click “Select Tenant” and choose the appropriate tenant option. This determines which group the registration belongs to. You can scroll or use the search bar to quickly find the correct tenant.

Click “Select Registration Option” This will display the available registration options for the tenant you selected.

Select the registration option you want to issue. Once selected, the form will update with any required fields for that registration type. For example, you may be prompted to enter the duration of stay, start/end date, additional information, a registration code, etc. depending on how the permit is configured.

Fill in the License Plate and State/Province fields.

Complete any required registration details Once the license plate and state or province are entered, additional registration fields may appear based on the specific Registration Setting you selected. These requirements vary by configuration, but may include fields such as: - Duration of Stay (for time-based permits) - Start Date/Time and/or End Date/Time - Additional Information like guest name or contact details - Registration Codes The following steps demonstrate a few common examples, but the exact fields you see may differ depending on the registration type.

Enter the required registration details. Depending on the registration type, you may be asked to select a duration (for example, “3 hours”) or choose specific dates and times. Click the applicable field, and choose the correct duration, date, or time. (Some registration types may also require an end date or additional scheduling fields.)

Enter any additional required information. If additional fields appear (such as the guest’s full name, phone number, or other custom fields), enter the required details. Some registrations require additional info, while others allow you to leave these fields blank.

Once all required information has been entered, click "Create" to submit the registration.

After creating the permit, a confirmation card will appear at the top of the page displaying the registration details. Click **View Registration →** to open and review the registration you just created.

This will bring you to the Registration Details page. Here, you'll find the: - Confirmation number - License plate details - Additional info - Location and Tenant details - Start and Expiry dates/times

From here, you can send the guest a confirmation receipt with their parking registration details! Click the "Enter email" field, input the guest's email address, and click "Send Receipt"

Edit or Cancel an Existing Registration

If you need to update a registration, you can edit details like the license plate, start or end dates/times, duration, or any additional information. 1\. Click “Edit” 2\. Update any required fields, such as the plate, date/time, or additional info fields. 3\. Click “Save” once your updates are made. 4\. Confirm the update. A confirmation message will appear. Click Update Registration to apply the changes. Your updates take effect immediately.

If the registration is **Upcoming** (meaning it hasn’t started yet) and you need to cancel it, you can do so by clicking “Cancel Registration.” Note: Once the registration is active or expired, it can no longer be canceled. Mistakes happen! If you need to cancel a permit that is currently active or expired, please contact your parking management team for assistance.

Once the registration has been canceled, it will show a “Canceled” status in Registration Details.

Search for a Registration Using Vehicle Lookup

To search for registrations that have been created, perform a Vehicle Lookup by selecting “Vehicle Lookup” from the Reporting dropdown menu.

You can narrow your Vehicle Lookup search by selecting a specific Location and Tenant.

If you’re not sure where the vehicle was registered, or if you want to run a broader search, choose "All Locations" to search across every available location. This is often the recommended option for the most complete results.

Select the “Lookup By” option. You can search by License Plate Number (recommended), Confirmation Number, Additional Info, or Registration Code.

Enter the license plate number (or the relevant lookup details) to search for the registration.

Select the appropriate registration to open the Registration Details page.

From here, you can view, edit, or cancel the registration (if it’s upcoming). You can also send the guest’s confirmation receipt directly from this page.

You can view when the registration was created and see an audit trail showing who created it and when.

You can also view any applicable invoice details at the very bottom of the Registration Details page.
