How to Edit Settings and Notifications

Enabling default settings allows for quicker requisition submission and lessen administrative burden for future orders. By editing notification preferences, users do not overwhelm themselves with multiple notifications for the same message or choose options that ensure they are aware of the information in a timely manner.

**READ FIRST:** If issues occur when logging into UCIBuy+, confirm that one of the supported browsers—**Google Chrome, Microsoft Edge, or Mozilla Firefox**—is being used. Ensure employment status with the university is active in UCPath. In the browser settings, allow **pop-ups** and **third-party cookies**. If problems persist, refer to the [**FAQ section on the UC Irvine Procurement website**](https://procurement.uci.edu/ucibuy/faqs.php) for additional guidance.

Navigate to <https://ucibuy.uci.edu/>and enter single-sign on credentials.

Select the **User profile** icon.

Select **View My Profile**.

Select **Default User Settings**.

**READ BEFORE MOVING FORWARD:** The **Default User Settings** section includes many fields such as Custom Field and Checkout Settings. This guide focuses only on editing **Default Addresses, Default/Preferred Accounting Codes** and **Cart Assignees**, but the steps can be applied for the other settings as well.

Default Addresses

Select **Default Addresses**.

**READ BEFORE MOVING FORWARD**: Keep in mind that only approved campus addresses may be selected. Nothing ordered through UCIBuy+ may be shipped to a personal address or any location not listed in the directory.

Select the **Select Addresses for Profile button.**

In the **Nickname/Address Text** field, insert the desired campus address. Users can input partial words in the search field, such as the building/street name and/or number (e.g., 131 from 131 Innovation).

Select **Search**.

Select the desired campus address (e.g., 131 Innovation-9931-IR).

Insert the room number of the campus address in the **RM/STE** field (e.g., 250).

Select **Save**.

Default/Preferred Accounting Codes

Select **Custom Field and Accounting Code Defaults**.

Select **Codes**.

Select **Edit** for **Chart\***. \*Chart MUST have a default value set in order to set default Account values.

**READ BEFORE MOVING FORWARD**: Do **NOT** set default values for **Fin Approver 1 Org, Fin Approver 2 Org, Fin Approver 3 Org,** or **Federal Fund Indicator**. These are automatically associated with the accounting numbers in the system. Attempting to set default values may cause errors in the workflow.

Select **Create New Value**.

Select the **checkbox** of the desired **Chart Value** (e.g. **IR - UC Irvine**).

Select **Add Values**.

Select the added value (e.g. **IR - UC Irvine**).

Select the **checkbox** next to **Default** in order to set this value as a default **Chart Value**.

Select **Save**.

Select **Codes** to add additional accounting code defaults.

Select **Edit** for **Account**.

Select **Create New Value**.

Enter the desired account number\* (e.g. IR-GF12745). Select **Search**. \*Reminder that account numbers in UCIBuy+ are saved as Chart-KFS Account Number (e.g. GF12745 is under chart IR; therefore, the UCIBuy+ account number is IR-GF12745).

Select the **checkbox** next to desired **Account Number** (e.g. IR-GF12745).

Select **Add Values**.

Select the added value (e.g. IR-GF12745).

Select the **checkbox** next to **Default**.

Select **Save**.

To create a list of preferred account numbers, add another value by selecting **Create New Value**.

Repeat Steps 24-26.

The **Chart** (e.g. IR) and **Account Number** (e.g. GF12745) now automatically appear in the **Accounting Codes** in a new requisition. To edit the **Accounting Codes Section**, select the **pencil** icon.

Select the **arrow** icon pointing down-left.

The list of preferred accounting numbers appear under **Profile Values**. Select the desired accounting number. To search for accounting numbers that are not part of this list, select **Search** under Organization Values.

Cart Assignees

**NOTE**: Specifying cart assignee(s) allows the user to select an assignee from a list of specified users instead of having to search for an assignee every time the user needs to assign a cart. Select **Cart Assignees**.

Select **Add Assignee...**

In the **User Search** section, search for a user by completing one or more fields (for example, enter “Ching” in the **Last Name** field).

Select **Search**.

Click the **\[select\]** that appears to the right of the correct user.

Cart assignee should now be listed in the **My Cart Assignees** section. The **Set as Preferred** button sets the desired user as the default cart assignee.

How to Access Notifications

In the top right corner, select the **bell icon** to access notifications.

Select the **Click here to see all notifications** button.

How to Edit Notification Preferences

Select **Edit Notification Preferences**.

Select a category under the **Notification Preferences** section (e.g., **Administration & Integration**).

Select **Edit Section** to revise notification settings.

Hover over the **question mark** icon for the terms and definitions of each area.

Select **Override** next to the desired area (e.g., Search Result Export Confirmation) and use the drop-down menu to choose the preferred notification method (e.g., **email, notification, email and notification, or none**). \ \ • Selecting **email notification** will send the users notifications to the email address they have listed in their UCIBuy+ profile. • Selecting **notification** will send the users notifications **only** in UCIBuy+.\ \ • Selecting **email and notification** will send the users notifications to both their email and UCIBuy+ account. \ \ • Selecting **none** will not send the users notifications in UCIBuy+ or through their email.

After selecting all the desired notification preferences, select **Save Changes**.
