How to Raise a Staff Requisition

This guide provides step-by-step instructions on how to raise a staff requisition. It includes detailed instructions on entering the necessary information to ensure the requisition is submitted accurately and efficiently.

Logging in to PageUp

Prior to raising a staff requisition, ensure you are using the most updated version of the position description (PD). If revisions are needed, please email HR Compensation [hrcompensation@tcu.edu](mailto:hrcompensation@tcu.edu).

Navigate to [my.tcu.edu](http://my.tcu.edu).

Enter your login information and click ***Submit***.

Click the ***My Employee Center*** tile.

Click the ***PageUp Recruiting*** tile.

Entering the PD Number

Click "**Manage position descriptions and create**" under the *Position Description* tile.

Click the ***Clear*** button to erase any previous information.

In the "**PD No**." field, type the PD number (**digits only**) you received from the Compensation team, or search by any of the other fields known (e.g., position title, supervisor name).

Click the ***Search*** button to pull up the position description.

Click "***Recruit for position***" to start your requisition for the respective position description.

Position Information

**POSITION INFORMATION** Using the dropdown arrow, select the reason for posting the position. - ***New Position*** - newly budgeted position - ***Replacement*** - filling a vacancy or reclassified position

**POSITION INFORMATION** If this position is replacing an employee, please enter the former employee's name.

Budget Information

**BUDGET INFORMATION** In this section, you'll choose the appropriate **1)** department code, **2)** fund code, **3)** account number, and **4)** project (grant) number. If you do not have this information, please contact your department's budget manager. Continue with steps 13-17 below.

**BUDGET INFORMATION > Fund** Use the drop-down arrow to select the ***Fund*** number.

**BUDGET INFORMATION > Account** Use the drop-down arrow to select the ***Account*** number. ***Commonly used ACCOUNT numbers:*** - 6101 - Exempt - 6105 - Non-exempt - 6120 - Temporary

**BUDGET INFORMATION > Project No.** Use the drop-down arrow to select the ***Project*** number. ***Note:*** If you do not have a project (grant) number, choose 00000-No Project.

**BUDGET INFORMATION > FTE** Enter the **FTE** number for the position. - Full-time FTE = 1. - Temporary FTE = .03

**BUDGET INFORMATION > Questions** Select ***Yes* or *No*** to indicate if the position is grant funded or a partial year role. ***Note:*** Partial year refers to positions that are full-time but only last part of the year (e.g., 9-10 months with summers off).

Multiple Positions Information

**MULTIPLE POSITIONS INFORMATION** In this section, you can enter the position number and add more positions and position numbers if you are hiring more than one person. Continue to steps 19-20.

**MULTIPLE POSITIONS INFORMATION > Position no. & Type** Under the "***Position no.***" field, type the position number in the box. ***Note:*** Temporary positions do ***not*** have position numbers. Under "***Type***"**,** use the dropdown arrow to select if this is a new position or a replacement.

**MULTIPLE POSITIONS INFORMATION > Adding more positions** If you need to add more positions because you are hiring more than one person for the same role, **type** the number of positions needed (e.g., 2) in the boxes located next to *New* and *Replacement,* and then click "**Add more**".

Advertising Details

**ADVERTISING DETAILS > Recruitment Process** Using the drop-down arrow, select the appropriate recruitment process for the position.

**ADVERTISING DETAILS > Posting Location** Using the drop-down arrow, select the posting location.

**ADVERTISING DETAILS > Advertising Summary and Advertisement Text** Review the **1)** advertising summary and **2)** advertising text to confirm all information is correct. ***Note:*** This will be your final chance to make any changes or revisions to the job description before it is posted. If a change needs to be made, please contact HR Compensation immediately and do not continue with the requisition.

This is your final chance to make any changes to the advertisement text. Please confirm that the job description is correct, and no further changes are needed. Revisions made ***after*** the job has been posted may require raising the requisition again.

Additional Users

**ADDITIONAL USERS** Type or search the name for the **1)** Reports to and **2)** Department contact using the magnifying glass icon. ***Note:*** The department contact is a central person who handles requisitions for the overall department/college. If none, leave the field blank.

**APPROVALS** Type or search the name for the ***Hiring Manager*** using the magnifying glass icon. ***Note 1:*** The hiring manager is the person who is responsible for answering questions about the requisition, reviewing applicants, dispositioning applicants, and creating the offer card. ***Note 2:*** A different person is not required for each field. For example, you can list the same person as ***Hiring manager*** and ***Job reports to***.

Approval Process

**APPROVAL PROCESS** Finally, click the drop-down arrow to select an approval process. (If you are unsure of your approval process, please contact the Talent Acquisition Team [hrtalentacquisition@tcu.edu](mailto:hrtalentacquisition@tcu.edu)). ***Commonly used approval process options:*** 1. **Staff - Academic**-For all full-time or part-time roles in academic departments falling under Academic Affairs division. 2. **Staff - Temporary**-For all temporary staff roles that do not require grant funding. 3. **Staff - Facilities**-For all full-time or part-time facility roles. 4. **Staff - Non-Academic**-For all full-time or part-time roles in non-academic departments (HR, marketing and communication, etc.).

Please confirm the approval process before proceeding. If you select the wrong approval process, you may be requested to restart the approval process, which can cause delays.

**APPROVAL PROCESS** Type or search for the appropriate name for all respective, blank fields in the approval process. ***Note:*** **Review** all ***pre-filled*** names in the to confirm the appropriate approver is listed. Sometimes the system will pre-fill the field with a name from another requisition that is not relevant to the current requisition.

**APPROVAL PROCESS** Once you have confirmed all of your information is correct, click ***Save*** or ***Save & Exit*** to start the approval process. If you are not ready to submit your requisition for approval, click ***Save a draft***.

Tip! It is recommended that you alert those within your approval process in order to move the offer card forward in a timely manner.

What's the Status of my Requisition Approval?

Tip! Want to see where your requisition is in the approval process? Follow these next steps. 1. Go to your PageUp Recruiting dashboard. 2. Click "# Jobs Open" under the *New Requisitions* tile. 3. Click "View job" and scroll to the bottom to view the status of the requisition in the approval process section.

You'll see a check mark by the names of those who have already approved the job requisition.
