How to Search for UCIBuy+ Documents and Save Searches

This guide shows where to search for UCIBuy+ documents, how to apply filters, and how to save searches. Searching for documents without filters will show all available documents for each document type. Saving searches allows users to easily apply the same filters at once.

**READ FIRST:** If issues occur when logging into UCIBuy+, confirm that one of the supported browsers—**Google Chrome, Microsoft Edge, or Mozilla Firefox**—is being used. Ensure employment status with the university is active in UCPath. In the browser settings, allow **pop-ups** and **third-party cookies**. Hover over **Orders** then **Search**. Select the desired document type (e.g. **Requisitions**).

Configuring Columns Shown in Searches

Select the **gear** icon to **Configure Columns**.

Select the desired value.

Column values can be **reordered** by either dragging the value using the **six dots** or by selecting the **up** or **down arrow** icon(s). Select the **trash can** icon in order to delete the column value.

Select **Apply**.

The column value now appears in the search results.

Adjusting Date Range

**NOTE**: The system defaults the date range to **Submitted Date: Last 90 days**.

Select the **Submitted Date: Last 90 days** drop-down. Specify desired date range (e.g. selecting one of the default ranges for within - **Last 120 days**). Select **Apply**.

Applying Quick Filters

Select filters are available as **Quick Filters** on the left-hand side of the page. Locate desired filter (e.g. **Supplier**). If the filter value is shown, select the value. If it does not appear, select **Show More**.

Select all desired values (e.g. 12TWENTY, INC.) Select **Apply**.

Applying Other Filters

**NOTE**: This section will show how to apply the filter **Department Buyer Org**. However, the process is similar for the other available filters.

Select the **Add Filter** drop-down menu.

Scroll to search for desired filter. Select the desired filter to apply it.

Or enter the desired filter name in **Find search filter** field (e.g. department Buyer Org). Select the desired filter to apply it.

The department buyer org code associated with an user's account is automatically shown as a filter value. Select the **+** icon to add it. If the desired department buyer code does not appear, select the **magnifying** icon next to **Search for Values**.

Search for desired department buyer org code (e.g. IR7011). Reminder: in UCIBuy+, department buyer org codes are saves as Chart+KFS code (e.g. IR7011). Users can also search the KFS code by surrounding the code in astricks (\*).

The filter value now appears on the top of the filter drop-down menu.

To remove a filter value, click on the value that needs to be removed.

When all desired filter values are added, select **Apply**.

Removing Filters

Individual filters can be removed by selecting the **X** icon next to the filter name. To clear all filters, select **Clear All Filters**.

Saving Searches

**NOTE**: Saving a search saves all the filters and their values. This saved search is easily accessible and allows users to quickly apply all the specified filters at once.

Select **Save As**.

Enter a **Nickname** (required) and **Add description** (optional). If there are no folders listed under **Personal**, select **Add New**.

Select **Top level personal folder**.

Enter a **Folder Name** (required) and **Description** (optional). Select **Save Changes**.

Select desired folder destination. Selected folder destination is highlighted in blue. Select **Save**.

Accessing Saved Searches

The saved search is accessible under **My Searches**.

Select the saved search under Favorite Searches.

Managing Saved Searches

Method 1: Under **My Searches**, select **Manage Searches**.

Method 2: select the **user** icon and select **Manage Searches**.

Searches can be edited, moved to a different folder, copied, or deleted.
