Submitting a CE Reimbursement Request

Welcome to the Education Fund's **Continuing Education (CE) Reimbursement Program**. Once your account has been created, navigate to <https://ramp.com/>and click on **Sign in**.

1. Enter your email and password to log in. 2. Click on **Sign in to Ramp**. *Your Ramp account email is the same email address at which you received the Ramp invitation.*

Go to **Receivables**, then click **New invoice** in the upper right corner.

Select **Create invoice manually**.

On the **Create invoice** page, select The Education Fund as the customer.

**Please submit only one line item at a time. If you have multiple receipts, submit each one in a separate invoice.**

The invoice fields will appear. Please fill out the required fields following the directions below. **Invoice #:** MMDDYYYY-FIRST 3 LETTERS OF YOUR FIRST NAME-INV\ *Example: 09012025-BOB-INV* *\**\***If you are submitting more than 1 invoice on the same day, please add -1, -2, -3, etc. to the name. Example: 09012025-BOB-INV-2** **Invoice date:** today's date **Due date:** 30 days (click on the calendar icon and select Net 30) **Item:** Input one of the options from the list below that best matches your request. - License renewal or recertification - Professional Membership/Association - Liability Insurance - Student Screening - Continuing Education (CEUs) - AHA - BLS/CPR - AHA - ACLS - AHA - PALS - AHA - NRP - Initial License or Certification (License or Exam Fee) - TEAS/HESI/Wonderlic Exam & Prep Materials - Test Prep/Review Material **Price:** cost of reimbursement request (must match the attached receipt) **Quantity:** 1

**Document Requirements: Receipts** In order to expedite the review of your application, please read the information below: The preferred proof of payment for all requests is an official receipt from the vendor you paid. The receipt must include: - Your full name - The vendor’s name - The transaction date - The amount paid - Clear evidence that payment was made (e.g., Payment method, $0 balance due, etc.). If the payment document does not include any of the required fields listed above, **your application will not be considered complete, and processing delays will occur**. Other acceptable proof of payment documents include: - The front and back of a check with the deposit stamp - A bank statement that includes your name and the transaction information - A peer-to-peer (Venmo) payment that includes your name, the vendor’s name, and other transaction information - A money order will be accepted **only** if a bank statement or cashier’s check is included with your name - Handwritten receipt from vendor with an official PAID stamp

**Document Requirements: Proof of Completion**\ *Required for CEUs, American Heart Association certifications, Initial License or Certification (License or Exam Fee), TEAS/HESI/Wonderlic Exam and Prep Materials, and Test Prep/Review Material* This document must show that you have fully completed the item that you paid for. This document must include: - Your full name - The vendor’s name (must match the vendor’s name on the receipt) - The completion or issue date (must be in the current calendar year) If your application does not include appropriate proof of completion, **it will not be considered complete, and processing delays will occur.** Examples of proof of completion: - A CEU certificate of completion - A CEU transcript - A certificate of completion for a conference or seminar - A copy of your new license or certification (screenshot of online license is sufficient) - A copy of your exam results (pass or fail) - A copy of your new AHA certification card - TEAS/HESI/Wonderlic exam results

Click on the 3 dots at the bottom and select **Upload a document** to add your receipt and proof of completion (if needed). See document requirements above.

Tip! Repeat the step above to attach additional documentations as needed. You can attach multiple documents in one invoice.

Once your document(s) have been uploaded successfully, a **Document** tab will appear next to the **Invoice** tab with your file displayed.

Click **Continue** to review your request.

Before you complete the final invoice submission in the next step, please double check that all your required documents have been uploaded correctly. **Otherwise, your invoice will be considered incomplete and will be rejected, and you will need to resubmit your request.**

Review invoice and click **Create and send**.

The Invoice status will say **Invoice sent**. This is confirmation that the invoice has been submitted to the Education Fund and is awaiting processing.

You will receive your reimbursement payment in your bank account within 30 days!

**How to Track the Status of Your Reimbursement** **Invoice Sent**\ You have submitted your CE Reimbursement request (invoice) to the Ed Fund. The invoice is pending review. **Invoice Received**\ The Ed Fund has reviewed your request and has pushed it through for payment processing. **Rejected**\ The Ed Fund has reviewed your request and determined that the application is incomplete or insufficient. Please check the "Activity" section on your invoice for follow-up and next steps. **Payment initiated**\ The finance team has triggered the payment to be sent out. The funds are being transferred, and you should see them in your bank account in the next 2-3 business days. **Payment received**\ The reimbursement payment has cleared and is in your bank account. If you do not see the funds, please email CEpayments@theedfund.org.

CE Reimbursement Invoice Updates & Communications

**What happens if your reimbursement is considered incomplete or insufficient?**

If your reimbursement request is incomplete (missing documents), insufficient (a document is missing critical information), or has not been submitted correctly (multiple receipts/requests were submitted in one invoice), your request will be **Rejected.**

You will receive an email from Ramp with the subject line **"The Education Fund commented on a bill."**

To view the message from the Education Find, click on **View Discussion.**

If you are not currently logged in to Ramp, you will be prompted to enter your email and password.

Once logged in, you will be immediately brought to the invoice. Under the **Activity** section, you will see the message from the Education Fund explaining why your request was rejected.

To respond, type your message in the text box and click **Comment.**

The Education Fund will be notified of your comment and will respond if needed. At this time, if eligible, you can resubmit your request by completing a new invoice.

Once your invoice is in the **Payment initiated** status on Ramp, you should see the funds in your bank account within 1-3 days. If you have any questions regarding the status of your reimbursement after that point, please log in to Ramp and add a comment under the **Activity** section. **How long do I have to submit my documents?** You must submit the required materials for reimbursement, showing that the requests have been paid and/or completed in the current calendar year. Any items completed in a previous year will be deemed ineligible and denied for processing. If any documents are insufficient or missing, an Education Fund staff member will comment on the invoice to notify you that your request has been rejected. If eligible, you can then resubmit your request by completing a new invoice. **Can I submit several reimbursements within one year?** Yes, as long as the total requested do not exceed $1,500 in one calendar year. **Do I need pre-approval?** Nope! As long as you meet the criteria listed above, you will not need pre-approval. **What if my reimbursement request is more than $1,500?** You will be reimbursed up to the limit of $1,500 annually.
