Labor Redistribution: Originate a Request

This guide provides a step-by-step process for originating a Labor Redistribution Request. Using this form, you can manage employee pay distributions that have already taken place.

Navigating to the Labor Redistribution Form

The Labor Redistribution Form can be found in Banner Employee Self-Service. Navigate to Connect Lehigh <https://connect.lehigh.edu/>

Click "Employee Banner Self-Service Dashboard."

Click "Labor Redistribution" in the "My Activities" section. This opens a blank form.

Creating the Labor Redistribution Form

To begin, find the relevant employee by entering their LIN in the "ID" field. If you would like to narrow your search to a specific pay you can use the "Pay Year" and "Pay Number" fields as well.

Click "Go" To begin your search

The resulting list shows all pays that have been completed for the employee, or the narrower results you selected in the previous step. Click the select box for all pays that you wish to edit. You can also use the sort feature on any of the columns to help find the pay you want to redistribute.

When you have finished selecting the pays you wish to redistribute, click "Open."

To make changes to the distribution of funds click the "edit" button

If you wish to redistribute across multiple indexes, click "Add Line." If you are just changing the existing index, proceed to step 10.

Click "Enter Index Code." Type in the correct index or search for the index by name.

Click the correct index as it appears. This will select the index and autofill the "Fund," "Orgn," and "Program" fields. You can double check that you have the correct index based on the description that displays. ("Budget Office," in the example below)

The Account code does not autofill in this tool. Click "Enter Account Code" and type in the account for your redistribution.

Select the desired Account code as it shows up from the search, then click on the code. (You want to keep the same account code as in the original pay). If you do not click on the code an error will appear in the top right of your screen. If you change an account code, the entry will be returned to you for correction.

To create the redistribution, select any one of the "Amount," "Hours," or "Percent" fields and enter the correct information. You only need to enter data into one of these fields. The other two will calculate automatically.

Continue to add and/or edit indexes until you have input all of your information. **Ensure that the total percentage adds up to 100.**

Click "Round." This ensures the hours, percent, and amount fields all align with the total assigned to this pay.

Finalizing and Submitting the Labor Redistribution

Click "OK Changes" when you are done entering in your data.

Then click "Save" to save all changes you have made to the selected pay.

Check to see if any errors have shown up in the top right of the screen. If there are no errors, click "Save." **If errors appear** make the necessary changes and click "Save" again. When no errors appear click "Save" again.

Adding Comments

Click on the "Comments" tab to share information about the business purpose for this re-distribution.

Click the "Add Comment" button and type into the text box.

Submitting the Labor Redistribution Form

Click "Save" again. Then Click "Submit." This will generate an automatic routing queue and your labor re-distribution will be sent out for approval.

Special Note for Sponsored Programs Indexes

**For Sponsored Programs Labor Redistribution:** Once you have completed the form, send any required attachments via Filesender. Be sure to include the relevant Index to ensure the attachments are routed to the appropriate Contract Grants Specialist.
