A Degree Audit is an unofficial report provided by a college or university to track a student's progress toward completing their degree requirements. Alfred University uses a software called Degree Works to generate these audits. This guide will apply to both students and advisors.
As you view your Degree Audit, if anything does not look correct to you, please talk to your advisor.
Degree Works Overview
1
To access Degree Works, navigate to <https://my.alfred.edu/>
2
Click "Quick Links"
3
Click "Degree Works"
4
Click "Go to DASHBOARD"
5
***Advisors*** will see the option to search a student by student ID. They will also see an option for an "Advanced Search" which will allow them to search students by alternate and specific criteria. Click here to open the "Advanced Search" window.
6
In the Advanced Search window, ***advisors*** will enter additional information and then click "Search"
7
On the Degree Audit page, you will see several areas of information listed. In the **Degree** block, if a student is a dual degree, you will see a drop down menu here where you can switch to see the progress of the alternate degree. Otherwise all double majors, concentrations, and minors will be seen on the one degree audit. Above the Process New Audit button, students could see an area showing the date of when the most recent audit was run. It is best practice to “Process a New Audit”. The date range helps to show audit changes.
8
Scrolling down, the first "block" of information displays degree progress at a glance, with all categories of requirements listed. The codes listed on the left of each category depict the progress of each requirement.
View the legend for status codes:
9
Scrolling further, the "Liberal Arts and Science Requirements" block displays important information on State Education requirements: [[Taking the minimum required Liberal Arts and Sciences is a State Education requirement for a degree to be awarded. This block serves to monitor that requirement. If you follow all your program and degree requirements listed above, this area should get automatically filled. You and your advisor should watch to be sure courses are falling in here, but in most cases, you should not need to specifically look to register for courses to fulfill this block.]] It is important to keep track of the progress on this block, although the listed suggestions for fulfilling the requirements will not always be necessary.
All audits will roughly have these blocks: Degree, General/Academic, Major, Major Related, University Requirements, and State Ed Liberal Arts and Sciences. Any other blocks (Insufficient; courses not used) will appear as needed or as declared by the student such as minors and double majors.
Helpful Things You May Find in Your Audit
10
The "Insufficient" block lists courses that will not contribute to completing requirements based on the grade received. Note: some majors/college's have minimum grade requirements. For instance, some majors in CLAS have a minimum grade requirement of C, and anything below that will drop the course to the "Insufficient" category.
View the codes for grades taken from [Alfred University's Academic Regulations page](https://my.alfred.edu/academic-regulations/undergraduate.cfm) Note: When a course is In-Progress, it has no grade so it will not fulfill requirements on the audit. At the end of the term, if you get an I or an IP, those grades are not sufficient to meet degree requirements. These courses will temporarily fall to an “Insufficient” block until a sufficient grade is earned. Then they will go back to fulfilling requirements.
11
Any course marked with an "(R)" have been **Repeated.**
12
**Transfer Credits** will be denoted with a "T" and their transferred grade in parenthesis. They will also show where the transferred credits were completed. Please note that *any transfer grade lower than a C will not be transferred in*.
How to Run a "What If" Audit
A "What If" audit is a tool that allows students to hypothetically explore different degree programs, such as majors, minors, or concentrations, without actually changing their current declaration.
13
To run a What If audit, click the "What If" tab towards the top of the audit page. Enter desired information. In the "Catalog Year" drop down menu, select the year that the major you are searching for became effective. You MUST select a College in the "College" drop down. Failing to select the correct College will provide incorrect results. The college used is the college that offers that major. Select "Process" at the bottom of the page.
How to Petition an Audit
If a student believes there is cause to petition their audit, they can go to their advisor or Dean's office as only these roles are able to petition. All petitions will be reviewed and approved by the appropriate department/Dean's office. Once approved, the Registrar’s office will apply the petition. Please allow 1-2 weeks.
14
For an **advisor or Dean's office member** to make an audit petition, go to the 3 dots in the upper right hand corner of the Audit page.
15
Click "Petitions"
16
Select "Add A New Petition"
17
Add a new petition with the instructions provided. Click "Save Petition"
