How to create a Potential Change Order or Proposed Change Order (PCO) in eComm.

Navigate to your project dashboard that you want to create a PCO in.

Select "Item Logs" then select "Potential Change Order (PCO)"/"Proposed Change Order (PCO)"\ Click "Potential Change Order (PCO)"

Click "+ Post New"

Enter your description in the first field.

Be clean & concise with the description. This is what populates in the Change Order or Allowance Authorization.

Select your reason for the change.

If the project has a contingency fund entered "Apply to Contingency?" will show up. Select if you wish to apply the Potential Change Order (PCO) to the contingency fund.

Depending on your working relationship with the Architect and the Owner of the project you can choose to send the PCO to them or not at this point. If you don't need their approval in eComm you can simply mark the PCO as approved at the bottom of the page when you are finished putting everything together.

You can add any related items in eComm at this point. Simply Click "Add Related Item" and then select the items that should be related to the PCO.

Select the Contract or the Allowance that you wish to relate the PCO to.

The Contractor Quote can be left blank. This will fill when the contractor has finished the RFP.

When first creating the PCO you can enter in an estimated price. This can be updated later if needed.

Enter the RFP Scope that is specific to the Contractor. This is what they will see when responding to the RFP. You can also update the Description if needed based on the Contractor.

Click "Create" at the bottom of the page. This step just generates the PCO in eComm. Don't stop here as there are a few more steps before it is complete.

If needed you can generate an RFP from the PCO related contracts table. Simply click the "Generate RFP" button in the table by the contract or allowance you need it for. This will send the contractor a notification that they have a new RFP.

Select your status to move the RFP forward in the process. If no one else needs to approve then you can simply mark the PCO as approved.

Type your name as it is written in eComm in the Digital Signature field.

It is best practice to click "Save Changes" first so you can review the generated PDF in eComm.

After saving your changes you can right click on the PDF to download it or click on it to open it in your web browser.

At this point you have the ability to approve the RFP directly from the PCO. Simply select the drop down menu and choose "Approved" or "Rejected" and the RFP will close. Leave it as pending if the Contractor has not responded to the RFP yet.

When moving the PCO to the next step or closing after your review you will need to type your name again.

Now you will see the blue button at the bottom of the page. This will read "Save and Submit to Architect" or "Save and Submit to Owner" depending on your workflow selections earlier. Once this button has been clicked it will no longer be in your court.
