How to create an Invoice in RoomRaccoon

This guide shows you how to create invoices in RoomRaccoon with clear steps, focusing on partial invoicing, split invoicing, and practical tips and tricks to help you work faster and avoid confusion. Please note: for customers in Portugal, refer to the Portuguese version of this article.

Roomraccoon

Navigate to the reservation in which you need to create an invoice.

Scroll down to the document section within the reservation and click on "**create invoice or credit note**".

Creating the Invoice

You can choose to make out the invoice to: 1. **A new booker -** this is a booker that you have not registered in your system yet. 2. **The current booker or guest** of the reservation. 3. **A different existing booker** in your system.

Click on the + icon, to add a new booker.

Use this dropdown to choose whether to make the invoice out to the booker or the guest registered in the reservation.

Use the search icon to select a different existing booker.

To add a short description at the top of the invoice, fill it in here.

Here you can either: - Add a new payment - Select an existing payment, you can associate multiple payments to one invoice if needed

Click the "Due date" field to choose the due date of the invoice.

By clicking these check boxes you can choose which parts of the reservation to invoice.

Alternatively you can "select all" to create an invoice for everything in the reservation.

You can optionally create a partial invoice by entering a percentage here.

Don’t forget to click apply.

Once you’ve checked your invoice in the overview on the right-hand side, click on “Create Invoice.”

Note: Creating an invoice cannot be undone. So make sure to double-check the details!

To send the invoice, you can click in the envelope icon, fill in the email address and click "OK".

When sending the invoice, you have the option of adding a custom text. A handy tip is to add **a payment link.** Do so by adding the placeholder tag [[%paymentrequestlink%]]. This generates a 3D secure link for the booker to pay via the RoomRaccoon Payment Gateway.
