How to invite your prospects/ customers

Learn how to easily import a list of guest invites for your event. This guide walks you through uploading a spreadsheet, mapping fields, and confirming your guest list to ensure a smooth invitation process.

Add your prospects and customers to this template to import, you will need first name, last name, job title, company and email address for each contact - <https://www.nineteengroup.com/guest-invite-template>

Login into our e-zone, if you have lost your login details, please contact [sthorn@nineteengroup.com](mailto:sthorn@nineteengroup.com) who can assist

Once logged in the screen below will appear for your event you're exhibiting at

Click "Invite Prospects/ Customers"

Click "ACCESS HERE"

Scroll down

Click "Upload Exhibitor Logo"

Click "Choose a file…" and upload your company logo and resize accordingly. 200X72 is recommended size

Enter a brief company profile highlighting what products/ services you cover. This part is important as it will pull through on the registration form your guest gets

Click "Update Exhibitor"

Click "Guest Invites." This is where you will upload your prospects and current customers

Here is the template again, encase you missed it at the start! Add your customers and prospects that you want to invite to the show into this template - <https://www.nineteengroup.com/guest-invite-template>

Click "Import"

Click "Choose a spreadsheet" and upload your excel sheet of your customers and prospects

Click "Next"

Scroll down

Double check your fields have been mapped correctly

Click "Next"

Select the "Guest Invite (GUI)" option

Select the "Guest Invite (GUI)" option, again. Then click Next

Select the "United Kingdom" option as a fall back option

Click "Next"

Scroll down

Click "Import"

Click "Close"

A new screen will load where your imported data will be. All these contacts will have a invitation sent to them automatically. You now need to adjust your filter so you can see who has and hasn't registered from your invitation. Click as below

Scroll down

Click "Invitation Accepted"

Scroll to the end

A tick will indicate they have accepted your invitation and registered, whereas a x will indicate they have not, or have already registered from somewhere else
