How to register a patient for a visit

The system offers several ways to schedule a patient appointment, and each user can choose the one that suits them best.

One of them is to book a visit from the Timetable

There you will find four tabs: Calendar, Visits, Available time slots, Visits to be booked. You can strat by choosing "Book visit"or you can go to "Visits to be booked" tab, where you find the whole list of visits ready to book according to active protocol. The appointment booking process will be the same regardless of which path you choose.

Click "Select time slot"

Click on the three dots to the right of the hour you wish to schedule the patient for.

Click "Select for booking"

Find a patient you want to book a visit for.

Fill all mandatory fields.

You can add a comment that will be visible at the calendar level

Click "Save"

Another way to schedule a patient visit is to do it directly from the study level.

Select "Patients"

On the right side next to each patient, you can see a box with the visit list based on the active protocol.

Clicking it opens the selected patient’s visit list with suggested dates and time windows. Use the three dots next to a visit to schedule it.

By selecting ‘Book a visit’, you will be taken to the visit scheduling process described in steps 3–9.

An additional path for scheduling patient visits is accessing the ‘Visits to book’ tab from the study list view.

This view shows all visits to be scheduled across studies, with suggested dates and time windows based on the active protocol. After clicking the three dots, the option ‘Book a visit’ will appear.

Selecting it will take you to the visit scheduling process described in steps 3–9.

"Quick visit"

There is another way to schedule a visit. Book a visit as a Quick visit - when you need to immediately register a patient in a faster, shortened way, e.g. when the patient is waiting, such registration does not require a lot of information. A visit scheduled this way will always be unplanned.

From the Timetable view choose "Quick visit".

Fill all mandatory fields

The system allows you to choose the visit type during the scheduling process.

At the end of this process, you do not save the visit but start it immediately.
