How to reserve ITS Office Hoteling spaces

Follow these steps to login to WebCheckout's patron portal, access the ITS Hoteling Spaces checkout center, and create a reservation for yourself if you are an ITS staff member.

Navigate to [https://luc.webcheckout.net](https://luc.webcheckout.net/sso/patron#!/)and login via Microsoft Azure single-sign on (SSO). Note if you are already signed into another Loyola system using SSO, it will immediately pass you along to the Patron Portal reservation system page. Select **New Reservation**.

When prompted to select a checkout center, **\*ITS Office Hoteling Spaces** is already selected, then press **OK**.

Tip: If you're looking to reserve items from other departments (such as equipment from the Digital Media Services loan program or Campus Services hoteling spaces like HSC 4th floor spaces), use the *Choose your Checkout Center* drop-down to another center.

Next, **choose the date and times** of your reservation. Press the triangle twirl-down next to the date to select from a Calendar view. By default, all reservations are scheduled 8:30am to 5:00pm the same day for ease. You can set more narrow times to reserve as needed, up to a maximum of 18 hours for a single reservation.

Once you've set the Start and End date and times for your reservation, press the **green "✓ All" button** to save these changes.

Press the **Browse Catalog** button.

The catalog will appear allowing you to navigate from campus to locations. In this example, we've selected *HSC, SSOM-Cueno Center*.

The Catalog will now display available rooms and locations from the campus selected. Select **one of the rooms** you prefer.

*Recommended:* As most HSC locations have a limit of 2 seats, it's recommended to press the **Timeline** button to see if there are existing reservations.

In the *Timeline* view, you can **scroll to the right** to see current and future reservations for this group. In the example images below, we see the 2 available spaces are "Out" today and actively in use (as noted in yellow). Scrolling to the right to locate the date we chose shows there's no reservations on 3/25. "Desk B" has reservations (in shades of blue) later that same week, but "Desk A" has no reservations.

Based on our review of the Timeline, there are no reservations on the day we want for either desk. We will choose the first option, "Desk A" and press the **Add to Shopping Cart icon button**. Then click **Return to Reservation**.

WebCheckout will show a nice *"Looks Good!"* thumbs up meaning there are no errors. Press the **Save Reservation** button at the bottom-right corner. You will then receive an email notification confirming your reservation. You will also receive a few email reminders an hour before your reservation, the time your reservation starts, and at the time your reservation ends as helpful reminders.

If you see any "Error" messages at the final screen and are unable to reserve, click the error details to learn more. This can either occur if the space is already booked, or the reservation exceeds limits set by ITS including: - A single reservation cannot exceed 18hrs in duration - A reservation cannot be greater than 90 days in the future - You cannot reserve more than 1 item in reservation (ex: you can't add 2 seats or have a reservation overlap) - You cannot have more than 5 active/future reservations scheduled at a given time To resolve errors where there is a resource conflict (the space is already booked for some or all of the time you listed), consider removing the item and reviewing spaces again using the Timeline view.
