How to share content externally

The customer can create an externally accessible web page containing PDF documents for non-authenticated users to access. For example, users with HR Forms or PDF forms that require completion or signatures can be made available for external users with built-in PDF writing and submission capabilities, with complete security and compliance.

Click on the gear icon in the top right corner.

Click "Settings"

Click "External Content" Tab

Click "Manage Sub-Modules"

Click on the library where you would like to upload the document you would like to share externally with a link.

Place a check next to the library and click on "Save"

Click on the library from the left panel

Click on the plus sign next to "Records" to create a new "Item"

A "New Item" Form will pop-up

Fill out the form with the required information

Once the form is filled out, click on "Save & Close"

Click on the new "Item" that has just been created.

Click "Click or Drag and Drop to upload files"

Open your local drive

Select the fillable pdf form that you would like to share externally with a link

Enter required information into the fields and click on "Save"

Click the "Back" button

Click on the item created in step 12 and click on the "Documents" Tab

You will see the fillable pdf form "Employment-Job-Application.pdf" uploaded in Step 13

Right click on the recently created "Item" in Step 12

Scroll down until you find "Sharing"

You can either choose "Anonymous Sharing" to enable share for anonymous access or "User Based Sharing" to only enable external sharing for specific user access

We'll choose "Anonymous Sharing" and click on "Save"

Click on "close" or the cross sign

Click again on the "Item" created in Step 13

Click on the tab "Shared Documents"

Check the box under "Visible" corresponding the uploaded pdf file that we wish to share externally with a link

Click the "Save" button

Copy the link from the previous step and open it in a browser. You will be asked some basic questions. Fill out the fields and click on "Next"

Click on the link "Employment-Job-Application.pdf" that was uploaded earlier to be shared externally with a link

The fillable pdf form will pop up. Fill in all the required fields

You can go to the end of the document by clicking the right arrow to add a signature

Click on the "Add Signature" icon on top of the form

Type a signature and click on "Ok"

Click on the cross sign to close the pdf

A warning box will appear. Click on "Yes" if you wish to close the editor

We'll see a new "Item" which is the pdf form just submitted in the earlier step
