How to share your screen in Teams

The most effective way to share your screen is by using two desktops. This setup allows you to view your audience on one desktop while sharing your screen on the other.

If you have one desktop, we recommend sharing a specific window instead of your entire screen.

Share your Screen

Click Share

If you have multiple screens, choose the screen that you want to share. *Tip: the name of the screen is shown on the mouse hover.*

Your entire screen is now shared (see the red border). Make sure to turn off notifications. Teams will automatically mute notifications when presenting.

Share your screen is the best option if you want to show people a workflow that includes switching between different apps.

Share your Window

Click Share

Click Window

Choose the window you want to share.

Sharing a window prevents that you share the wrong page or openly share private information.

The shared window has a red border. Participants only see this area. You can navigate to other apps without people seeing this. If you close the window, screen sharing will stop automatically.

When you start sharing, the main meeting window minimizes, and a popup appears. By default, the main speaker is visible here. This popup will be hidden for the participants.

Click on 'Show more people' to view more participants in the popup.

Click 'Maximise meeting window' to reopen the meeting window and show all participants.

All participants are now visible to you. Move and resize the screen, if needed.

Share a PowerPoint Live presentation

Another helpful tool to present in Teams is PowerPoint Live.

Presenter toolbar

The Presenter toolbar is visible when you start sharing your screen.

To move the toolbar, click and drag on the drag handle on the left.

The Presenter toolbar will minimize after 4 seconds when not in use.

Via the Presenter toolbar you can: 1. Turn your camera on/off. 2. Mute/Unmute your microphone. 3. Share/Mute the sound of your device.

Click 'People' to view all participants.

You can click 'Give control' to give a participant control of your screen.

If you are sharing video, you can click 'Optimise' for a smoother playback experience.

Click 'Annotate' to add annotations to the shared screen. *Tip: You can only annotate while screen sharing, not while window sharing.*

A toolset appears at the top of the shared screen. Select one of the tools and start typing or drawing on the screen.

To save the annotations, click 'Save a snapshot'. This creates a Microsoft Whiteboard.

To access the Whiteboard, click on the 'Meeting Whiteboard' tab in the Teams chat of the meeting. You can also visit <https://app.whiteboard.microsoft.com/> to access your whiteboards.

By default, only you can annotate. Change to 'Everyone can annotate' via the settings wheel on the right of the toolbar.

Stop sharing

Click 'Stop sharing' in the small toolbar.

Or click 'Stop sharing' in the large toolbar.

Or click 'Stop sharing' in the main meeting window.
