HubSpot Navigation Basics

Learn the basic areas of HubSpot you will use most often and understand where to go each time you want to create or send an email.

User Authentication

Login to your Hubspot account at <https://app.hubspot.com/login>\ \ If you are a NICA league user, be sure to use single-sign-on (SSO) with your league's hub@ email address. **Here's what you'll see when you log in.** Think of the left navigation menu as your main roadmap for moving around HubSpot. \ \ *PRO-TIP! You can add a section to bookmarks by clicking the bookmark icon to the right of the desired location.*

You can access all your "Bookmarks" at the top of your Navigation Menu.

Now we'll walk through the various sections that you'll use in your league marketing role...

CRM Menu

The **CRM menu** is where people and contact information live. You can click "Contacts" to view all those you "own" as a league Contact Owner.

While looking at your **CONTACTS** page, you can see Saved Views. This is where contact information lives for coaches, parents, riders, etc. You may search for, or review, contacts by using the search bar.

A page showing your **SEGMENTS (Lists)** also lives in your CRM menu. Segments help filter/determine who receives communications from your emails. Your Segments/Lists exist in your League Folder. Lists may include: - Current Coaches, Parents, Riders - GRiT-specific lists - Newsletter subscribers ("Singletrack Times") - All-time lists for Coaches, Parents, Riders You'll use these **Segments** to send marketing emails.

**SEGMENT FOLDERS**\ Your folders live over here, toward the top right side of your page. When you first open the page, you will see ALL of your lists. You can search for lists in the search bar.

**Tip!** Leagues can create folder structures *within their league folders* to organize Segments (Lists). NICA National does not determine these folders; pick a structure that works best for your league.

League lists are organized using the following naming convention: LEAGUE - TYPE - (ALL / CURRENT) For example: - **AZ - Riders - All Time** is a list that shows all riders who have ever been active in the Arizona league. - **AZ - Riders - Current** is a list that shows your current season riders.

Marketing Menu

Now, explore the **MARKETING menu.** We'll start with the Email page.\ \ Access the navigation bar to return to "Marketing → Email". Each time you want to send or manage an email, start by going to Marketing → Email.

Your "Email" page is the primary location for: - Creating emails - Editing drafts - Reviewing sent emails - Scheduling sends Once open, you will see ALL emails created. There are Saved Views for Drafts Scheduled and Sent. You can access Folders in the right. You can search, filter and create emails from this location.

Tip! Just like Segments, emails can be organized into folders. **Choose a system that works well for your league**. Many leagues organize by email type (Coaches News, Singletrack Times, Race Alerts) or by season (2026 Season, etc.)

Within the Email page, you can also "Analyze" email performance by clicking here. **Hubspot offers detailed email analytics that can help you refine your emails over time.**

You can choose the Analytics you want to see.

File Menu

Next, we'll explore HubSpot's file management system. Use your Navigation bar > Content > "Files"

You can view your files as lists or switch to grid view

You can access your existing folders here, and create more folders and upload to them.

NOTE: Keeping tidy files is a bit tedious but well worth the effort. Make sure your files are named, sorted, and easy to find should you want to access them again.

Reporting Menu

Want to know more about your league demographics? Hubspot's pre-built reports can help. Access your Dashboard/Metrics from your Navigation Bar. Click Dashboards

Manage and view Dashboards (a comprehensive list of reports) using the dropdown menu. NICA National has built dashboards and reports for each league.
