LOGGING IN TO THE PORTAL

**For Repeat Interviewers:** Login using the email and password from previous years. If you can't remember your password, follow the prompts to reset your password. You can skip to [Step 4](https://scribehow.com/viewer/Interview_Portal_Training__Y5DYo3CXSXqNK_wdg3ir6g?scrollToActionId=be139c37) after logging in. **First-Time Interviewers:** Enter the email we have on file for all communications and click "continue." You will then need to check your email.

**First Time Interviewers:** You will get an email from The Next Step Scholarship Program. Click on the link that says "Confirm Your Email to Get Started."

Click the "Password" field and type in a password to create your account. You will use this password every year!
Tip! If you are having any issues, click the "Having trouble logging in?" link and follow the prompts.
NAVIGATING THE INTERVIEW PORTAL

You are now in your interview portal. You will see all of the applicants that have been assigned to you. *(We have redacted the names of the applicants in the guide for privacy).* To view an application, click on the blue bar that says "Review."

The default view of applications is the **Interactive View**. If you'd like to view the application in a PDF format, Click "Switch to PDF View".

In the PDF View, there are several actions that might be useful. You can Zoom in and out use the - and + keys. You can print the PDF. You can also download the PDF.

To switch back, Click "Switch to Interactive View".

If you want to download PDFs of all your review files at once, for printing or reading, click the green Download ZIP button and follow the prompts.

The **Select Form** menu has all documents related to the applicant. The default form is **Applicant Summary** which has an overview of the applicant.

To switch to a different form, click the down arrow to bring up all associated forms.

The **Applications** form is where you will spend the majority of your time reviewing the applicant. The application follows the order of the evaluation form.
Tip! At the end of each section on the application, there is an Administrative Notes section. If there is anything the program administrators want to call attention to for interviewers, it will be in these sections.

**Communication Logs** are notes that the program administrators have entered throughout the applicants history. You will need to click the *eye icon* to view the full document. There may be multiple documents available, or none, depending on past interactions with the applicant.

The **Funding History** has the historical award information for each applicant, from every year they've received a scholarship. It also includes the previous year award and disbursement history, and any supplemental scholarships they've received. If the applicant is a former recipient, you will want to view this form to see their historical award information.
You can navigate between any of the forms with the Select Form menu button.

Form attachments are items that applicants have uploaded during the application process. You will need to review the Sponsor Letter and Proof of Employment.

To view attachments, click the down arrow on the menu.

Click on **Sponsor Letter of Recommendation** to view the attachment. You can use the buttons to navigate it. The sponsor letter is **required**; if it is missing, please check the administrative notes in that section for an explanation of the omission.

Click on **Proof of Employment or Disability** to view the attachment. You can use the buttons to navigate it. This upload is currently optional, as we don't always have applicants who are employed in the traditional sense. If there is no upload, check the administrative notes in that section for an explanation of the omission.
Tip! The applicant photo is at the very beginning of the application, but if for some reason it's not showing up, you can click on the Form Attachment to view.
SUBMITTING FEEDBACK

To begin your feedback form, click the +Feedback button. All interviewers must fill out the Pre-Interview Notes BEFORE your interviews begin. **Do not wait until the last minute to do this!** You should have this form open and ready to go before your applicant gets into the interview Zoom.

This will pull up a side by side view. The application will be on the left side, and the evaluation form will be on the right side.
You will want to do this on a laptop, computer, or iPad. It will not work on a phone.

To fill out the form, you will click in the boxes and begin typing. You can tab to get to the next box or use your mouse.

For the scored questions, you can only enter numbers. The form will tally them up at the end. Refer to the [**Evaluation Guide**](https://www.dropbox.com/scl/fi/0c1e4wgndpcohsy9mkhde/Interview-Evaluation-Guide.pdf?rlkey=n3kurvkwzbajy8qdqo4fh3mlf&dl=0) to score your applicants. You **MUST** add notes for each scored question as well. The notes are very important to the scholarship committee in making informed decisions about awards.

When you get to this section, you discuss our policies with the applicant and ask them to affirm their understanding for volunteering, grade reporting, and use of funds. *At this time, recipients in Kansas City are encouraged to support the scholarship program by spreading awareness, but they are not required to formally volunteer.*

At this point in the form, you are done asking interview questions. You will go through any of the interviewer bullet points that haven't been covered. The next set of questions will be filled out AFTER the applicant leaves the interview. Typically, the interview team will discuss the interview before filling out their recommended funding.

You will now wantto determine the Scholarship Funding recommendation. The total points will be tallied by the form, and the Funds Requested will populate form the pre-interview notes. There is a box for Actual Funds Needed. If, during the interview, you determine a different number than what was on the application, fill this in here. Often applicants don't know when submitting their application what they need. If you want to put in a range, use the minimum field as well. Please explain your funding decision, especially if you do not want to fund them. Interview team members do not have to agree on points or funds requested.
You can fill out the form while you are interviewing, or fill it out after the interview.

For the final step, summary the interview or add additional comments.

If you need to come back to your feedback form to finish later, Click "Save Draft". If you're satisfied with your evaluation, click the blue Submit button.
YOU CANNOT MAKE CHANGES TO YOUR FEEDBACK FORM AFTER YOU CLICK SUBMIT.

When you are finished with a feedback form and it has been successfully submitted, the button next to the applicant will turn green and say Done on the Dashboard. You can now proceed to the next applicant.

On the Dashboard, you will see the reviews you need to complete highlighted by an orange **Continue** box. Click the orange **Continue** box to complete your interviewer feedback form.
