Firstly, you may need to check your settings if you would like the invoices to create and send automatically on job completion.
1
So start by clicking into 'Settings' > Invoicing & Payments Then you can toggle on 'Automatically Create Invoices'. You can also enable 'Automatic Invoice Notification' if you want the customer to receive the invoice automatically on invoice generation.
2
Now you can click into the customer once the job is complete, select the pink three dots and click 'Done' or swipe to mark it as done.
3
This will automatically create an invoice for the customer, which you can see the details of by clicking into the customer finance tab.
4
Once you have opened this invoice, click into the pink three dots and you will have the option to preview what the invoice looks like. You can also email or sms the invoice from this action button, download the invoice or take payment.
5
Once you have sent the invoice, you can view the delivery details by going into Messages and expanding the delivery details using the arrow, as shown below.
Now you will see how to create an invoice for a customer without automatic invoice creation turned on.
6
Click into the customer and mark the job as done in the same process outlined above.
7
This will just move the job into a 'Done' state, so you will need to click into the pink three dots again and select 'Create Invoice'.
8
You can then add future job appointments if you wish by clicking into 'Select Jobs'.\ Then toggle on 'Include Future Jobs', select the jobs you would like to include and click 'Done'. You can also edit the invoice notes here if you wish.
9
Then click 'Create Invoice'.
10
You can add any attachments to the invoice as well by clicking into 'Invoice Attachments' > pink three dots > 'Select Existing Attachments' or 'Upload File'.
11
You can preview the invoice before sending as well by clicking into the pink three dots > 'Preview Invoice'.
12
You can then click back into the pink three dots and either send this via email or SMS. For this example I will send via SMS. Once you are happy with the message, click 'Send'.
13
You can view the invoice in the same way as previously outlined.
14
To view your invoicing settings, go to Settings > Invoicing and Payments. From there you will be able to adjust the different settings relating to invoices according to your preferences.
15
You can also adjust the Invoice Message Templates by clicking into Notifications & Messages.
16
Here you will be able to edit the template to align with your preferences and use any message tokens that you wish within the message. For the SMS template, it will show you an approximation of how many credits it will use for that message. Make sure to click 'Save' after you have made any changes.
