Review the Invoice

Navigate to the Paid Invoice on the front-end of the system.

The Payload Transaction ID: (txn_3ehIv8C4ZXbP51GPjD5V) will be displayed on the Invoice. This ID is generated by Payload and can be used on the Payload Profile to locate the invoice and its payment history.

Click "Accounting" to navigate to the interface.
Record the Deposit
Once a Payment is received on an Invoice, Payload will take 2–4 business days to process it. After processing, the Deposit will be available in the BE Accounting module for recording.

Click the "Quick Actions" menu.

Click "New Payload Deposit"

Use the small calendar icon to search for the Payload Deposit.

Click "Search"

Click the corner checkbox to select all Payload Deposits to record.

Click "Deposit"

Ensure that the correct Bank Account and the Deposit Date are correct.

Check that the Deposit amount matches what was received in the Bank Statement from Payload.

Click "Save"

Refund the Invoice

Navigate to the Invoice in the front-end of the system.

Click the "Refund Invoice" button.

Select the Payment.

Add a description on the text field.

The status of the Invoice will revert to "Open" and a new Payment can be recorded.
Record the Refund
Once a Refund is received on an Invoice, Payload will take 2–4 business days to process it. After processing, the Refund will be available in the BE Accounting module for recording.

Click "Accounting" to navigate to the BE Accounting interface.

Click the "Quick Actions" menu.

Click "New Payload Deposit"

Use the small calendar icon to search for the Payload Deposit with the Refund.

Click "Search"

The Refund will show highlighted in yellow and with a negative amount.

Click the "Quick Actions" menu.

Click "New Bank Deposit"

The Undeposited Funds page will populate. Ensure that the correct Bank Account and Date are selected.

Click the "Add Line" button.

On the "Received From" field select the Customer profile for the Agent.

Select the Accounts Receivable account.

Reference the Invoice on the Description field.

Add the Amount of the Invoice as a negative.

Select the Class tied to the Agent.

Link the Deposit to the Refunded Invoice Payment

Click the "Sales" tab.

Click the "Customers" option.

Click the "Search Customer" field and type the Name of the Agent.

Click on the Name.

Click the "Transactions" tab.

Click the "+" of the Invoice that was Refunded.
If a new Payment has been recorded to the Invoice, then the "Action Button for the Invoice Payment can be selected.

Click the checkbox for the Deposit.

Unselect the checkbox for the Invoice.

Select the Checkbox for the Refunded Payment under the "Credits" section.

Ensure that the "Amount Received" remains at "0.00".

Ensure that the "Amount to Credit" remains at "0.00".
