Produce Perks Midwest 2026 Data Collection Template

For 2026 participating Produce Perks sites, we require aggregate market-day data collected and reported to PPM on a monthly basis. This guide shows market managers how to set up and use the template Distribution Redemption and Token Inventory Logs.

Setting Up The Template

Click the File Menu.

Click 'Create a Copy' and then 'Download Copy'. Download to the location you wish.

In the saving process, we recommend changing the file name to make it yours. Click in the "File name:" field to delete the word TEMPLATE and add your market name.

Once you are satisfied with the title and the location, Click "Save". If the document does not open automatically, open it and choose 'enable editing'.

Tip! The Set Up steps below should only need to happen once a season, or if there are changes. The first sheet in the Workbook is titled 'Read Me'. This is useful for review and reference. \ \ The Workbook contains two other sheets: Monthly Distribution Redemption (purple tab) and Token Inventory Log (blue tab). The Read Me is color coded to the colors of the sheets.

Now navigate to set up the Distribution and Redemption log by clicking "Month X Distribution Redemption".

Add your market name to the sheet. Click the cell next to Site Name. Type in your name.

The log is set up with the basic required collection of market day data. Customize the Distribution Redemption Log

If you have additional incentive programs, we will add columns for their distribution and redemption. First, right click the header of column "D".

Choose "Insert". This will automatically insert a column to the left of where you clicked before.

Now re-title the new column by clicking in the cell.

In the formula bar, type the name + Distributed ($). For this example, we're adding Kids POP Distributed.

If you wish to maintain color coding, select the cell you just created with the new incentive name and click the bucket icon to choose a color.

Now we'll repeat the process to add a redeemed column for the additional incentive. Right click the column "G".

Click "Insert" to add a column to the left.

Rename the column by clicking in the cell and typing in the formula bar.

Select the cell and use the bucket icon to fill with a color to match the Distribution column if you wish.

Now scroll to the bottom of the sheet where the Total row lives. You need to carryover the formulas for the new columns to calculate appropriately. \ \ Hover your mouse at the intersection of a column with the summary formula and the column you just added until a '+' sign appears. Left click and drag to the right one cell. This will copy the formula from one column to the next.

If you click in the cell you just created, it should have a sum formula in the form field like '=SUM(D5:D34)'. The letter in the formula should match the column letter.

Repeat the steps above to drag the summary formula for any additional columns you created.

Replicate the Distribution Redemption Log

Once the distribution redemption log is customized to your needs, you will want to make copies for each month you are open. Start with a Right Click on the 'Month X Distribution Redemption' tab.

Click "Rename"

Type the name of the month your market begins. We suggest using 2026_01 or a similar numeric format.

Then create copies for each month you are open. Right click on a tab.

Click "Move or Copy..."

Click "(move to end)"

Click "Create a copy"

Click "OK"

Rename the new copy. Right click on the tab you just created.

Click "Rename"

Type the new name in the same convention as before, such as 2026_03 Distribution Redemption.

Repeat the steps above to create copies and rename until you have a distribution redemption log for each month you will operate.

The Distribution Redemption Log is now ready to use!

Use the Distribution Redemption Log

To navigate among tabs, you can right click on this > icon and it will pull up a list of tabs.

In the tab for the month you are reporting on, complete one line per market day. Add the market date. Tab through each column and enter the aggregate total for the market day. Remember - individual transactions are no longer being required. We're asking for the total number of SNAP transactions for the day, total SNAP dollars distributed to shoppers for the day, etc. You may find this information in POS or EBT reports, token logs, and/or vendor receipts. The TOTAL line will automatically sum all data entered for the month. Use the numbers in this TOTAL line to complete your monthly invoice.

Tip! If you report activity, the Produce Perks Monthly Invoice will ask for an upload for verification. Simply navigate to this workbook and send to us after you've entered the market day data. Set Up & Use Token Inventory Log (recommended, optional)

Click "Token Inventory Log" tab

Type your site name in cell "B1"

This token inventory log contains columns for Produce Perks (PP) and SNAP tokens. If you do not wish to keep an inventory of both, highlight the respective columns you would like to remove and right click.

Click "Delete". This will delete the selected columns.

To use the Token Inventory, enter token count at the beginning of the market in the 'Starting Inventory' columns. At the end of the market day, enter the amount distributed to shoppers, redeemed from vendors, and counted end-of-day inventory. The green and orange columns will calculate automatically. If there's a discrepancy, look for guidance at right.

Tip! The Token Inventory log is for your use to help protect the tokens you should treat as cash. It does not need to be submitted to Produce Perks, but may be helpful reference if month-to-month token calculations detect a discrepancy.

Distribution Redemption Log - Print Version (optional)

If your market staff will complete the log in paper and then transfer to the electronic version, Click "Print" in the file menu.

Click "Scale to Fit"

Click "Fit Sheet on One Page"

Tip! Depending on how many columns you added, you may need to adjust the print settings to create a format that can be written in.

Print as many copies as you need. Ideally a market manager will enter the data from the paper copy into the electronic copy each month. The electronic record will then sum the market day totals for you and can be uploaded with the PPM monthly invoice. If that is not possible for your market, you must add each column on the paper version to give a monthly total. Then, take photo or scan of the paper log. Upload this photo or scan to the PPM monthly invoice.
