Instructure
**Reminder:** For live classes, all participants are expected to have both audio and video available, at least during breakout sessions. If you're unable to use these features due to an emergency, please let us know. Otherwise, not having audio/video may result in being removed from the course. We understand Zoom fatigue can be challenging, but many of our live courses are designed with collaboration in mind as part of the learning process.
**Tip:** Be sure to check and download the latest version of Zoom if you're using it on your computer or phone. Zoom regularly updates the platform, and not having the latest version could affect its functionality.
Accessing the Zoom Information
1
In most CAST courses, Zoom information is typically found within the Canvas course itself. Participants should check the Canvas course for Zoom details and should not expect a separate email with this information. Be sure to access the relevant section or module in Canvas to find the Zoom details and join the live sessions.
**Alert:** The Zoom information is typically locked until prework is complete. If you cannot click on the Zoom link, please refer to the Unlocking Module tutorial to ensure you’ve completed all the prerequisites needed to access the Zoom information.
2
Click "💻 Zoom Information" to find the links to the Zoom meeting and the call-in codes. Please note that this information is generally only available here and is not sent separately via email.
Audio/Video
3
You can connect to Zoom audio in two ways: through your computer or by dialing in with your phone.
4
**To join via phone:** 1. Find the Zoom dial-in number in your calendar invite. 2. Call the number and follow the prompts. 3. Enter the meeting ID followed by #. 4. Enter your participant ID to link your phone audio to your Zoom video.
5
**If you join using Computer Audio:** You can access your audio controls by clicking the up arrow (^) next to the microphone icon.
6
When you click the up arrow (^) next to the microphone icon, you'll see the available microphone and speaker options for your computer. Test both to ensure they work before joining the meeting. A similar menu appears for the camera icon—be sure to test your video before the meeting as well.
7
You can click the microphone and video icons to turn them on or off. When they're off, a red slash will appear through the icons.
Engagement and Participation in Zoom
8
If you have any questions during the session, feel free to use the chat box. Note that messages in the chat will be visible to everyone in the group.
9
The "React" heart icon is where you'll find the "raise hand" feature and other reaction options.
10
Once you click the up arrow (^), a pop-up menu will appear. In the latest update, you'll see a "Raise Hand" button. Click it to raise your hand, which will move your name to the top of the participant list, making it easier for the trainer to see that you'd like to engage.
11
Once you're done with your question, if the trainer hasn’t already lowered your hand, you can click the "Lower Hand" button to put it down.
12
In the same menu, you'll find several reactions. Feel free to click on any reaction at any time—it helps the trainer know you're engaged and can brighten their day!
Changing Your Name
13
To help trainers identify who is engaging, we ask all participants to update their Zoom names. This allows us to track hand raises and confirm participation for grant and MCLE purposes. To rename yourself, click on the participant's icon (not the up or carrot arrow).
14
Once you see the participant list, locate the three dots next to your name. Click on these dots to open the menu and rename yourself.
15
Click on "Rename" to update your name, and please include your preferred pronouns as well.
Accessing Captions
16
CAST is committed to providing live captions during our sessions using the third-party app [Otter.ai](http://Otter.ai). This app helps us use a custom dictionary to better capture our dialogue. To access live captions during the training, click on the top right corner of the Zoom window. You’ll see a red box labeled "Live" with an accompanying box that says “[Otter.ai](http://Otter.ai) (click here to open live transcript).”
