Receive A Notification When A Tour Arrives

Creating a memorable first impression when a Tour is in the building can help ensure prospective residents turn into current residents and introducing prospects to Accushield shows that your community cares about the safety and security of those who live in your building. Having your staff receive our "Tour Alert" allows them to stay updated on if a Tour has signed into the Kiosk.

First, let's ensure that Tour Tracking is turned on. Click "Settings"

Click "Sign In Features"

Make sure the box next to "Enable Tour Tracking" is checked. If it's not checked, click the box and then hit "Save" at the bottom of the page.

From there, click "Settings" and then "Alerts"

Navigate to the "Tour Alerts" section and click "View"

You can edit the "Alert Name" field, if you'd like. The name of this alert gets shared in the text/email notification that gets sent to the recipient.

Then, decide the timing for this alert. If you want your staff to receive this alert during all hours, you'd leave the "Set Alert 24 Hours A Day" option chosen. If you want your staff to only receive this alert during their traditional working hours, you can set a "Start" and "End" time. If a tour signs in outside of those chosen hours, an alert will not be sent.

If you want this alert to only be active for a set amount of time, you can set an Expiration Date. If you also want to receive an alert when the tour signs out of the community, you can toggle "Yes" for the "Would You Like to Trigger An Alert During Sign Out?" option. This means you'd receive an alert during both their sign-in and their sign-out. Click "Next" once done.

Next is deciding which staff will actually be receiving this alert and how they will be receiving it (email, text or both) Multiple staff can be chosen to receive this alert, if necessary.

If you can't find the name of the staff member you want to receive this alert, try toggling the "View All Staff Members" option. That should expand your view. If the staff member still isn't visible, even after toggling that on, they may need to be added to your Staff Roster or their profiles may need phone numbers / emails added to them. Click "Publish" once done.

If one of your alerts has a red bell icon - that means that there's an alert created that does NOT have a recipient chosen to receive it. This typically happens whenever a staff member is setup to receive an alert, but then leave your community to work elsewhere. We recommend viewing & editing your alert to add a new recipient.
