Receiving Log User Guide 2025

Board Format

First open the Nat'l Receiving Log board on [Monday.com](http://Monday.com) <https://vrno.monday.com/boards/8259153530/>

You can save any board to your favorites by selecting the drop down arrow next to the title of the board and selecting the Star icon

Just below the title of the board, you will find a series of tabs, starting with the "Main Table". The "Main Table" contains all receiving log items nationally, across ALL locations.

In the table, you will see they are split into 4 groups. The first group is called "Recurring Orders" this is where orders that are set on a schedule are added. For example, if you have an order that comes in every month, instead of adding the same order month over month, it is added once to this "Recurring Orders" group.

Next is the "Active Orders" group, these are orders that have been purchased but are not fully received yet.

Then there is the "Plant Transfers" group. When we ship materials from one Verano CPG to another, it is added to this group.

Finally, we have the "Received Orders" group. This group is for materials that have been fully received.

There are additional tabs listed that are broken out by CPG. If you want to look at just one particular state's receiving log, you can select their tab from the list.

If you don't see the particular CPG you are looking for, select the drop down next to "All" to find a complete list of all state tabs.

You can reorder tabs to make searching more efficient. Select the 3 dot icon next to the state tab

Hover over the selection "Reorder (for you only)" and you can select to move this tab to First for example.

Alert! Don't select "Pin View" if you select "Pin View" it will Pin the view for ALL users on the board.

Search Functions

Below the view tabs, you will see a series of search functions. If you are looking for a particular item or order you can enter keywords in the "Search" bar

Based on the keyword(s) the board will populate any items that contain the criteria.

You can also search by "Person" assigned. If a user is assigned as a requestor or a buyer, you can filter to only the items they are assigned by selecting that user under the "Person" filter.

For more advanced filters, you can select the "Filter" drop down

For example, if you want to only look at 1 Group, you can select "Group" in the "Column" section and select "Is" in "Condition"

And for "Value" select the Group you want to filter by.

If your search has multiple criteria, you can select "+New Filter"

and enter additional criteria. For example, perhaps you only want to look at a specific vendor in the Active Orders group

By entering multiple search criteria, you can narrow down your results faster. Take the time to play around with filters during your search to avoid time consuming scrolling.

Line Item Format

Each Group's line items are arranged in the same order, starting with the "Item" which is the item description of the material

Next is the "QTY" or Quantity column, which shows how many of that material was ordered.

Next is the "Vendor" the material was purchased from.

Then there is a file column that shows the original "Request Form" You can open and view these forms, as well as download copies of the forms.

Next is the "Plant" the material is shipping to. Plants are based on the city or state name along with the SAP plant code.

After this, we have the "SAP PO #" if a PO was written for the material

Following this we have the "Vendor Order #" This is the unique order # that was provided by the vendor.

Next we have "Purchase Date" for when the material was ordered.

Next is "ETA" this is the estimated date the material should arrive to the plant.

Then we have "Tracking Link" if a vendor provides a tracking or shipping link

Then we have "Received Date" this column is entered by the warehouse team.

Next, we have another file column called "Packing Slip" this is also a column the warehouse team adds. Whenever a material is received, any receiving documents, packing slips, BOL's etc. can be uploaded.

"Order Status" is utilized by both the warehouse and purchasing team. See below for a list of the order statuses and their meanings

Order Statuses - Purchased - This means your order has been submitted to the supplier and confirmed - Received - Your order has been physically received by the warehouse team - Partial - Some of your order has been physically received - Plant Transfer - Instead of ordering from a supplier, the materials ordered were shipped internally from one of our other CPG sites - Canceled - If for whatever reason, the supplier or You, the requestor cancels an order, the order will be marked canceled and typically the buyer will add to the comment section as to the reason behind the cancelation - Return - For whatever reason, if the order was incorrect or damaged and is returned to the supplier - NO PS - This stands for "No Packing Slip". The warehouse team marks this when a shipment arrives without any paperwork. It is used to notify the buyer to reach out to the supplier for a copy of the receiving paperwork - Warehouse Input - The warehouse team marks this when a material arrives that was NOT listed on the board before it arrived at the site.

Next is "Department" this is the internal department that should receive the order.

Then we have two "Person" columns. As we discussed earlier, you can filter by person's assigned in your search functions. Additionally, any changes made to the line item (i.e. Tracking Link, ETA, Order Status etc.) an email will be sent to that person assigned notifying them of the changes. The first Person column we see is the "Requestor" this is the person who requested the order to be placed.

The second Person column is the "Buyer" which is the person who purchased the materials.

The columns we just explored will be included on ALL state tabs to adhere to compliance. That said there may be additional columns that are state specific, such as QA inspections. These columns are hidden on the state tabs that do not pertain to them but they may appear on the Main Table.

If you have a comment or question on a particular material, you can select the chat bubble next to the line item

Here you can start a chat thread with your notes or questions.

You can also tag particular users from the board by entering the "@" symbol and select the person who may have the answers to your questions

Adding Users to Board

In order for users to assign, edit or view the board, they must first be invited. If the user already has a Monday account, you can select "Invite" at the top of the board

A popup box will appear where you can search the user you'd like to add to the board. Again, they must have a Monday account setup before they can be invited. If they require a Monday account, they will need to send a ticket to IT via Zendesk. You can only invite internal employees with a Verano email address.

View Activity & Changes

Any changes or updates to a board are tracked via the "Activity Log" To open the activity log, select your user icon next to the "Invite" button

In the pop up window we can see 3 tabs, "Activity", "Last Viewed" and "Updates" The popup will default to the "Activity" tab which shows a list of all the changes made to the board, starting with the most recent change.

To read the activity line starting left to right, we first see the time that the change was made. Then by which user the change was made by. Which item the user changed, and then what the item originally was before the change was made. And then finally what the new update is. This would mean for example, on the first line item, 9 minutes ago, Tyler Vaughn changed the board name from Test Log to Nat'l Receiving Log.

If you want to look at changes only done to a particular item you can search by keywords in the search bar.

You can also look at all the changes made by a particular user by searching by "Person"

Next to the "Activity" tab at the op is the "Last viewed" tab

This tab shows you all the users who have viewed the board as well as date stamp of when they last opened the board.

The last tab is the "Updates" tab

This tab will show you any comments that were made on line items. Remember, as we mentioned before, you can add comments by selecting the talk bubble next to the line item.
