Request Academic Contract Pay for Hire or Rehire Template

This guide provides step-by-step instructions for entering contract pay for an Academic hire. Contract Pay applies to certain Academic employees who are paid a set amount over a defined contract period rather than being paid evenly across the fiscal year. Contract Pay affects how compensation is calculated and distributed and should be used only in specific scenarios.

On the *Enter Transactions Details* page, select the **Academic Hire w/ Contract Pay** option from the **Reason Code** drop-down menu.

Enter Personal Data

Use the **Comments** field to include information for UCPath Center WFA Production. For contract pay entries, comments that indicate the contract pay reason and the contract period begin and end dates are required. **Example:** Contract Pay. Late Start. Prorated. Contract Start Date. Contract End Date.

If documentation is available, click the **Supporting Documents** link to attach a supporting document.

Enter Job Data

Click the **Job Data** tab.

Enter the employee's position number. **NOTE:** When you click or tab out of the field, several fields automatically populate from the details in Position Data, including Work Location, Job Code, and FLSA Status.

If the employee is entitled to receive the full annual rate, enter or select the **Step**. **NOTE:** The Salary Admin Plan and Salary Grade default from Position Data.

Select the appropriate **Comp Rate Code** depending on the hiring scenario. - If the employee is entitled to receive the full annual rate based on their salary step, leave the **Comp Rate Code** as **UCANNL**. - If the annual rate must be manually prorated, enter or choose the **UCCNTR** code. **NOTE:** This field automatically populates if a Step is chosen.

A message appears indicating the **Compensation Frequency** must be changed to **C**. Click the **OK** button.

Enter or choose the **C - Contract** option in the **Compensation Frequency** field.

In the **Compensation Rate** field, enter the employee's pay rate. - If the employee is to receive full compensation during the contract period, leave the default compensation amount. - If the employee is to receive a prorated rate, manually edit the amount in the field. **NOTE:** The **Comp Rate Code** field remains highlighted in red until you press the Tab key after enter the compensation amount.

A message appears indicating that the **Compensation Frequency** has been overridden from the default value and to confirm the new value is accurate. Click the **OK** button.

Continue entering the remaining data in the template and submit to initiate the UCPath approval process.
