Navigate to <https://rogersfreelibrary.libcal.com/reserve/meetingrooms>

The first search will automatically be by time.

Click the "Capacity" dropdown. If you know how many people are in your group, this will help us to provide you with the best space.

Click the "Date" field. Select which date you are booking the room for. *Please note all requests must be submitted between 14 and 60 days before your meeting.*

Click the "From" field. This is to select the start time of your booking.

Click the "Until" field. This is to select the end time of your booking.

\*Alternatively, you can search by space. Click "Search by Space" and select our space options.

when all of your information is inputted, click "Search".

This will provide you with the spaces available. Select the space you would like to book, then click "Book Now."

Click the "First Name" and put your name.

Click the "Last Name" field and put your last name.

Click the "Email" field and put your email.

Click the "Phone" field and put in your phone number.

Click the "What is the purpose of your room booking?" field and put in the purpose of your booking.

Click the "How many people are you expecting will attend your event?" field and put in your expected number of people.

Click the "Choose your organization type" field and select an option.

Click the "Name of Your Organization" field and enter your organization's name. Please type "N/A" if not applicable.

Click the "Yes" field if you need to use any AV technology (in the Herreshoff Community Room only.)

Select which technology you will need to use.

Select the options that apply under "is your event free and open to the public?" field.

Click the "At what time does your event start?" field and enter the start time of your event.

Click the "At what time do you plan to arrive to set up chairs and tables?" field and enter the time you will arrive for set up.

Click the "At what time does your event end?" field and input the end time of your event.

Click the "How long will you need after your event end-time to put the chairs and tables back the way you found them?" field and enter the time it will take you to break down.

Click the "How did you hear about our bookable space?" and select an option from the dropdown.

Select Yes or No under the "Will need any AV technology during your meeting?" field (Upstairs Conference Room only) if you need any tech.

Select which technology you will need under the "What UCR technology do you plan on using during your event?" field.

Click on the Terms & Conditions in blue to read them, then select "I agree to the Terms & Conditions of this booking." field.

Click "Submit my Booking"
