Navigate to the [SAP Analytics Cloud](https://trustees-of-boston-ma.us10.hcs.cloud.sap/) catalog.

Find the **Unrestricted Budget to Actual - GL/CI Detail** report.

This report runs by the period and fiscal year (not calendar dates ). The number format is PPP/YYYY. For example, December 2024 is "006/2025".

Enter the account number in the *Funds Center* field. Base accounts always start with a "1". \ \ If you are trying to run a report to view a discretionary account (beginning with a "9"), you will need to run the **Designated/Restricted Balance & Activity - GL/CI Detail** report.

Click "Set"

When you run the report, you'll see a lot of numbers you don't need! Remember that our operating base budgets do not include salaries, fringe, and revenues. You can remove them by individual GLs or by GL type. GL Codes: \ **4____\_ -** Revenues\ **500__\_ -** Salaries\ **860201 -** Fringe

Click the funnel button to open the Filter panel.

Click this button to create a filter.

Click "GL/Commitment item"

Click the dropdown next to the search bar.

Click "Historical All Funds".

Under "Expenses," check the box next to "All Other Expenses".

Click here.

If you have a category for "Net Transfers," check the box next to "Transfers-Out".

Click "OK"

The total of the first column is your operating budget.

Click "Dimensions / Measures" to modify the report.

You can remove columns you don't need by clicking the "X" next to the dimension or measure.

If you want to export the report to an Excel sheet, follow the steps below.

Click anywhere in the table.

Click on the bubble that appears in the top right corner.

Click "Export"

Click here.

Select XLSX in the "File Type" dropdown.

Click OK to start the download.

The **FY 20XX Budget** column is your budget for the fiscal year.

The **FY 20XX Actuals** column shows the actual expenses charged to the account. These are transactions that have been fully processed.

The **FY 20XX Commitments** column shows the commitments on the account. Commitments are pending transactions that have not yet fully been processed or funds that have been encumbered for expenses not yet incurred.

The **FY 20XX Total** column adds the **Actuals** column and the **Commitments** column.

The **FY 20XX Unexpended Budget w/ Commitments** column is the total of the **Budget** column less the **Actuals** and the **Commitments** columns.

The **FY 20XX Unexpended Budget w/o Commitments** column is the total of the **Budget** column less the **Actuals** column.

You can also view transactions posted to the account by GL by following the steps below. If you want to view all the transactions on the account at once, run a [Transaction Detail](https://scribehow.com/shared/SAP_Analytics_Cloud__Running_a_Transaction_Detail_Report__piQ9wp-dRp2gpEKGpecpsw) report.

Select the GL that you'd like to view the transactions posted to.

Right-click on the value. Under "Jump To", you can view the actuals and commitments.
