School Profile and Contacts in eRIDE

This guide provides essential instructions for managing school contacts within the School Profile application, ensuring accurate and up-to-date information for effective communication from RIDE. It emphasizes the importance of properly adding and editing contacts without overwriting existing data. Following the steps outlined will help facilitate better communication among staff and stakeholders from RIDE. The information in School Profile feeds the Master Directory.

You need to have your RIDE Portal credentials available and an eRIDE account with the School Profile application access.

Navigate to [https://portal.ride.ri.gov/Core/Secure/Applications#eRIDE](https://portal.ride.ri.gov/Core/Secure/Applications#eRIDE)

Click on the School Profile icon in the eRIDE module section of your portal page.

If you do not have the School Profile application please contact the data manager in your district for access.

District Contacts and Location Information

Click the name of your District to access district contacts (not school level) to maintain district contacts.

Alert! Do not delete or replace a contact by typing over a previous contact. Instead, check the ACTIVE box to make a former contact inactive then click ADD NEW to add a new contact.

Note the Active box on right that can be unchecked to make someone inactive.

Click "Add New" if you are adding a new contact.

Select the Title for this new contact from the drop down option. Add the information in each field then click ADD.

A contact has a Title and Roles. Select the Title that is most appropriate and add roles. Many of the contact queries are based on the role of the contact. The contact can have more than one roles.

These are the titles or roles that DISTRICTS should have: Superintendent • Asst Superintendent • Business Manager • District Testing Coordinator\*\* • Survey Works District Coordinator\*\* • Educational Lead • Data Manager • SSD Coordinator • McKinny Vento Liaison • EL Director • Special Education Director • Foster Care Liaison • Human Resource Manager • Director of Technology • PAS Coordinator\*\* • Director of Education \*\*Typically a role assigned to a contact.

After the new contact has been added you MUST add a new role(s). Select all that apply. Click ADD.

These are the titles or roles that most of the SCHOOLS should have depending on the level: • Principal • Assistant Principal • School Nurse • School Testing Coordinator\*\* • Survey Works School Coordinator\*\* • Educational Lead • School Counselor • SSD Coordinator • McKinny Vento Liaison – this may be just a district role and not at each school. • Foster Care Liaison - this may be just a district role and not at each school.

If you are editing an existing contact follow these steps below.

Find the person you would like to edit such as adding a role to or change a role and click "Edit Roles". If it is a phone number or email address click the edit in the contact information box.

At the new box that opened begin adding roles. You will add them one at a time and a person can have more than one. Add all that apply. ..."

If a location has changed or a new contact person for the district has changed you should review the Location Information and Resource URLs box should be reviewed and updated if necessary. For instance, if the webpage has moved or the Administration Offices relocated.

Click "Save |"

School Contacts and Location Information

Click "School Profile Home" to return to the School Listing Link Menu.

Click on the name of the school you need to update.

For the contacts, the steps above are the same. Please remember not to delete any existing contact but instead make them inactive. Title and Roles are important.

When a principal has changed be sure to look a the location information for any email that may refer to the previous principal.

Principals can update the photo and narrative that appear on the school report card.

Tip! Make a calendar reminder to ask your HR Dept bi-monthly for any Admin Staff changes in your district and buildings.

Tip! Make a calendar reminder to ask the principal of each building who the testing coordinator is in each building to ensure they are added with the role of "school testing coordinator".
