Send Guest Permit Invites

Create a batch where your department will invite guests (specified dates) to park with a daily parking permit. Guests receive an invite (via email) containing a link and access key code to easily register their vehicle for parking.

Departments may create a batch for specified dates and invite up to 20 guests to register for parking. If you expect more than 20 vehicles, please submit a request through [Event Parking](https://transportation.stanford.edu/parking-stanford/purchase-parking/event-parking).

Once logged in to a Department Account, Click "Send New Permit Invites"

Important: Once a guest permit invite batch is created, it cannot be deleted. There are **no refunds** for claimed permits.

Enter a Name for the invite batch and Click "Confirm".

Enter the email addresses for the invitees. Place one email address per line for each invite (maximum is up to 20 individual email addresses). Please remove any punctuation from the email addresses when copying and pasting them from another document. See examples below. - Acceptable format examples: [username_001@gmail.com](mailto:username_001@gmail.com) or [username@mail.org](mailto:username@mail.org) - Incorrect format: <username_001@gmail.com> or username@mail.org;

Optionally, you can click the "Send me an email when an invite is claimed:" checkbox, enter an email address, and click "Confirm" to receive an email when that invite is claimed. Note: use this option if you need receipts of claimed permits.

Click the Permit Type for the invite

Click the Start Date field to open the Date Picker and select a Start Date for the permit.

Click the End Date field to open the Date Picker and select a End Date for the permit.

Click "Confirm"

Optionally, enter an additional message for the guest and Click "Confirm"

Optionally, you can add Email Attachments. Once done (or skipped), Click "Confirm".

First, enter the PTA or Hospital Cost Center account number in the blank white box. Then, click the "Bill the permit to a journal voucher" bar above to select this billing option. Lastly, click the "Confirm" button to complete this step.

If you did not do the step above, but instead selected the "Bill the permit to a journal voucher" first before entering the approved PTA or Cost Center number, you will have to enter the account number then, click "Confirm" again to complete this step.

The "Bill the permit to a journal voucher" button should be a dark red. Click "Continue"

Your guest permit invite has been sent. The confirmation page includes a summary of the invite as well as options to Send New Invites or Cancel an unclaimed invite. Note: the department PTA/Cost Center will only be charged for claimed permits.
