Sending Contracts for Dogs Already in the UK

This guide will walk you through sending an adoption contract and information email for dogs already in the UK. Please ensure the details like the adoption fee is correct and the date of birth of the dog lines up with their passport as these are populated in the contract and in the email template.

Sheltermanager

Navigate to the dogs profile in [https://eur02e.sheltermanager.com/](https://eur02e.sheltermanager.com/animal?id=17)

Click "Health and Identification"

Click "Microchipped"

Click the "Number" field.

Enter the microchip number - this is very important because this gets populated in the contract and also on adoption day the chip is automatically registered from this system to PETTrac so it must be correct.

Click the "Date" field.

Tick the "Neutered/Spayed" field.

Click the "Passport Number Start with CY" field.

Enter the passport number for the dog

Click "Save"

Click "Additional"

Enter the "Flight Date", this is used in the email template and also to run the flight reports

Click on the flight date

Click "Save"

Select the Flags drop down box.

Select the option "OnNextFlight" and then Click "Save"

Click "Movements" tab

Click on the "Reservation" of the person adopting the dog

Change the Movement type to "Adoption".

Click the "Movement Date" field.

Enter the movement date that corresponds with the flight date

Click "Change" to save this movement. Note that there will appear now be a red text box on the top right of the profile saying the dog is adopted.

Click "Animal" tab

Click "Document"

Click "9_2_LEGAL_ADOPTION_CONTRACT.html" (unless your dog is from Vaso's or Kiki's

Check the details are correct in the top 2 boxes. If they are not then you will need to go back and change them. Otherwise, click on the button highlighted.

This will create a document in the Media tab. Tick the check box next to the date under the document icon.

Click om the Sign menu item.

Click "Request signature by email"

An email display box will be shown and it should pre-populate with the adopters email address. Click this **Template** dropdown. Pick the template relevant for you and your shelter: - Dogs from Kiki's and Vaso's travelling from Cyprus - 1_1 - Dogs from Kiki's and Vaso's already in UK - 1_2 - Dogs from Kiki's and Vaso's already in UK being adopted by foster - 1_3 - RARC travelling from Cyprus - 2_1 - RARC already in UK - 2_2 - Dog Valley travelling from Cyprus - 3_1 - Dog Valley already in UK - 3_2 - Roberts travelling from Cyprus - 4_1 - Roberts already in UK - 4_2 - NDS travelling from Cyprus - 6_1 - NDS already in UK - 6_2 - Athienou travelling from Cyprus - 7_1 - Athienou already in UK - 7_2 - Ayia Napa travelling from Cyprus - 8_1 - Ayia Napa already in UK - 8_2

The template will fill the email content box with the correct information. Check the Flight date in the first paragraph and the Adoption Fee in the 3rd paragraph are correct. Click "Send"

Click "Animal" tab

Click "Email"

Another email display box will show. Click this **Template** dropdown.

Click **0_UK_Infomtation_Email.html** and then press"Send"

Click the "Contract Sent" field.

Click the "Info Email Sent" field.

Click "Save"

Click on the **Additional** Section of the Dogs profile and enter the date the dog is moving into the **UK Chip Registration** box

Click on **Reports > Movements > UK Chip Registration** and enter the same date you entered into the **UK Chip Registration box.** Click **Generate**

A table will display with the dogs and adopters details. Click **Email** and enter **microchips@savingsoulsrescue.org**

Notify the microchips manager that you have sent an email with a dogs detail to register the microchip. Unlike the dogs travelling from Cyprus, the dogs moving from UK foster need to have their microchips registered manually.
