Specific Purchasing Scenarios: How to Submit IT Services Requests & Set-Up a Recurring Purchase Request

IT services include electronic storage, processing or transmitting of data or information, as well as the data or information itself. Recurring purchase requests may be established for repetitive purchases of goods/services from one vendor within a specified time period, only when item is not available in any UCBuy+ catalogs or a PALCard is not accepted.

**READ FIRST:** If issues occur when logging into UCIBuy+, confirm that one of the supported browsers—**Google Chrome, Microsoft Edge, or Mozilla Firefox**—is being used. Ensure employment status with the university is active in UCPath. In the browser settings, allow **pop-ups** and **third-party cookies**. **READ BEFORE MOVING FORWARD:** When purchasing for these specific scenarios (Recurring Purchase and IT Services), users must take the following specific actions when answering the purchasing request form questions and completing the requisition. Outside of the following specific actions, users will answer the questions in the purchasing request form and complete the requisition as they would for any other non-catalog purchase.

Navigate to <https://ucibuy.uci.edu/>and enter single-sign on credentials.

Recurring Purchase Requisition

In the purchasing request form, select **Standard PO** as the order type.

In the purchasing request form, select the **Quantity** field to enter the number of items needed (e.g., 1). \ \ Quantity is required even for no-quantity orders. Item type will be updated in the requisition, as shown in Step 7.

In the requisition's **Purchase Order Information** section, select the **pencil** icon.

In the **Purchase Class** row, select the **Blanket (Recurring) PO** option.

Select the **pencil icon** to edit the requisition's line item details.

Select the **Item Type** drop down menu and select either the Amount-based or Quantity-based option. - Users should select **Amount-based** for No Quantity orders. - Users should select **Quantity-based** to Quantity orders.

Verify if line item is taxable (area has a green check mark) or non-taxable (area has an empty box). Change taxable status by clicking on the green check mark.

IT Services

**NOTE:** Keep in mind that IT service purchases take longer because they require a longer review and approval process.

Navigate to <https://ucibuy.uci.edu/>and enter single-sign on credentials.

Select **IT Services/Software/SaaS** tile.

Select **Purchasing Request Form**.

At the beginning of the purchasing request form, select the **Software/SaaS and IT Services** option, then complete the remainder of the form. \ \ Keep in mind that OIT approval will be part of the requisition's workflow once the requisition is submitted. Users can check the requisition's comments section for updates.

In the **InfoSec/Privacy/Accessibility/Risk** section of the Supplier Qualification tab, answer "Yes" if any of the questions apply. If any are answered as "Yes", complete the new questions that appear under.

For Departmental Buyer: \ In the requisition's **Supplier Validation** section, ensure that the **Subject to InfoSec Review**, **Subject to Privacy Review**, and **Subject to Accessibility Review** are properly filled out.
