Submitting and ESF Claim

Step by step guide for submitting a funding claim against ESF for T level employers. Notes - it's helpful to ensure you have signed (and countersigned) employer declaration ready to go, and that all proof of purchase is saved into one document prior to entering the government portal as it tends to time out on you if you navigate away for too long.

Open your signed employer declaration as you will need this for reference

In another browser window, navigate to <https://services.signin.education.gov.uk/>

Click "Start now"

Click "Employer Support Fund"

Click "Continue"

Click this dropdown.

Click this dropdown. If the employer has submitted a claim with us before, they can be selected form the list. If not you will need to 'create' them within the system as shown below.

It will take you to a screen to show what's available in each of the support fund pots. Check you have sufficient funds in the right pot, and Click "Continue"

Select the "Add new employer..." option.

Click "Continue"

Click "Yes"

If th eemployer has not entered their companies house number on their employer declaration, you can use the help here to find it. If they have supplied this you can proceed as per below. Otherwise, right-click "Help with companies house number" and follow th estep by step in another window to locate your company's information.

Click "Find company details"

Complete company size information as appropriate

Click "Continue"

Click "Choose file" to upload the signed employer declaration

Click "Continue"

Click the relevant fund for your employer

Click "Continue"

Enter the number of students supported by this placement (on the declaration) and

Click the "What was purchased? \*" field and enter details as per the evidence of submission N.B you can copy and paste content into here form documentation provided

Click the "Amount \*" field and insert correct value

Click "Choose file" to submit proof of purchase - thsi can only be one document, so ensure you have collated all evidence in to one document before uploading

Click "Continue"

Check statements at the bottom of the page and click to confirm submission

Click "Accept and send"

It will automatically display a submission reference, and give you the option to leave the site, or submit another claim.

You will receive an email confirmation of the reference, which has a copy of the submission attached. This should be sent to the employer to confirm their submission has been sent, and cc'd to Tracy Millerchip. The following text is suggested: Hi ....., I just wanted to reach out to confirm that your submission for the ESF Fund under the current claim window has been submitted as per your declaration, evidence of which is attached. I have cc'd Tracy from our finance department who will be in touch once funds are received to arrange payment.
