This guide provides a comprehensive walkthrough for downloading course and instructor files from the Survey Tool, filling out a Course File, and uploading a file to the FileSub. It covers each step in preparing courses to be surveyed in Explorance Blue.

Downloading the Instructor File from the Survey Tool

Go to the Survey Tool Download using the following link: <https://www.sc.edu/evalexport/main.php>

Select the desired term.

Fill in your specific campus, college, and/or department. In the dropdown for "Download Type," select Instructors. Then, click Submit.

Reviewing an Instructor File

Once you've opened your instructor file download, you'll notice that there is a CRN header. This is unneeded. You can rename to "Role changes," and use the column to mark any needed changes.

If you find someone that has the incorrect role for a course, you can highlight their name and type the role change in the column next to the current role.

The majority of the role assignments should have already been submitted by the time you download the file. However, if you notice anything incorrect, follow the below steps.

For training purposes, let's say that this CHEM112 course needs a TA role change and a TA added. Indicate the role change next to the current TA. Then, add a new row either above or below the course to indicate the TA that needs to be added.

Right click one of the cells in the row. Click "Insert..."

Select "Enter row" and select "OK."

Copy the course ID in the new row.

Add the information for the user that needs to be added. Include their name, the role they need, and either their USCID or Blackboard username.

Do one more check of your file to ensure all changes and additions are properly indicated.

Downloading Courses from the Survey Tool

Go to the Survey Tool Download using the following link: <https://www.sc.edu/evalexport/main.php>

Select your term, campus, and college/department.

Click "Include cross-list IDs," if your department wants to use existing cross-listed IDs to combine reports. Then, click Submit.

Open the downloaded file at the top righthand corner.

Filling Out a Course File

Highlight row 1. You can do this by clicking the number "1" on the side.

Go to Sort & Filter at the top. Then, click "Filter."

Go to column M, "course start date."

Click the down arrow. Remove the check next to "(Select All)." Click the box next to "000-00-00." This will show only the courses with no start and end date.

Pro Tip: Click on the number next to the second row. While keeping your cursor held down, pull your mouse down until you reach the row of your last course.

Once they're all highlighted, right click your mouse. Then, click "Delete Row." This will delete out all of your courses without start and end dates.

Go back to column M. Click the filter icon next to the cell name.

Now, select years/months of your desired terms.

Before setting up our evaluation start and end dates, we want to ensure we're pulling courses from the desired terms. In this instance, I will pull 3A courses.

To find 3A courses, I will use the course end date. Go to column N, "course end date." Click the down arrow next to the cell name to filter.

Now that you've sorted to show only 3A courses, you can set the 3A course evaluation start and end dates.

In column P, I am putting the 3A Spring 2026 evalstart date of 2/20/2026. Then, I'm, dragging that date down the rows for all the 3A courses. (See next step for details)

In column Q, I'm putting the evalend date of 3/5/2026. Similarly to column P, I am dragging the date down to all the rows. To do this, click the small green box in the bottom right corner of the cell. Then, drag your mouse down to the last row.

This will be the end result of dragging down the dates.

Make sure that your dates did not add! Sometimes, when dragging the dates down, they add a day to each row.

Columns V and W are used when combining reports. I will first show an instance of combining reports for traditional cross-listed courses and elective cross-listed courses.

Just because you see a cross-listed ID in column V, that does not mean that you should always be combining the reports. Be sure to double check that these reports need combining.

To combine these FREN209 course sections, go over to columns V and W. Since these sections are cross-listed, you don't have to make any edits to column V. Go to column W and create a cross-listed common name. This is what will display on the combined report. We suggest including the course IDs and section numbers of both courses, to prevent any confusion.

Columns V and W need to be identical for the courses you are combining reports for.

There are times where you may need to combine reports for courses that aren't traditional cross-listed courses or elective cross-listed courses. You will have to fill out both columns V (cross-listed ID) and W (cross-listed common name).

Column V has to be identical in both courses you are combining reports for.

Copy columns V and paste into column W (cross-listed common name) for both courses. The cross-listed ID and common name can be the same.

If you are combining reports of one of your department's courses, and a course from another department, you need to coordinate with that department's coordinator to ensure identical cross-listed IDs (column V) and cross-listed common names (column W).

Now that you've set your course reports to be combined, ensure that the rest of your file looks correct.

Click "Sort & Filter."

Do a final check, ensuring that columns P and Q are filled out, and correct, for all courses in the file. Make sure that columns V and W are filled out for courses that are going to have combined reports.

If you have courses that you are not surveying, delete the entire row, like you did with courses that didn't have a start and end date.

To save, click "File." Click "Save As."

Save as a "CSV UTF-8 (Comma delimited) (\*.csv)" file.

Enter your file name, using the following format: "YYYYMMDD-DEPT-TERM."

Uploading to the FileSub

Click "ExploranceBlue."

Click your campus.

Click "RTP."

Your college may have multiple departments, with multiple coordinators. You may see other people's files in the RTP folder. That is fine!

Click "Choose Files."
