Tech Hub 2.0: ES/AD Initiating the End of Season Submission Process

This guide provides a step-by-step process for initiating the End of Season Submission when the season has concluded for a team. A best practice is to pull online game/individual statistics to ensure they match what is entered into the Tech Hub for a student-athletes competition status. Conducting a meeting with the Head Coach, ES/AD, and Athletic Training staff to submit the Final Form 3 Roster to the Commissioner.

Click "Roster / Form 3" from the header or the tile.

Click the hyperlink for the sport to be processed for the End of Season submission.

Click "End of Season Roster / Form 3" tab

Alert! Please review the Roster to ensure all the correct **student-athletes were verified** during the Beginning of Season Submission process. If you discover a student-athlete is missing please review Bylaw 1.8.3 and contact the Conference Commissioner for further guidance.

Instructions on Updating Each Student-Athletes Competition Status

Tip! The End of Season Submission process has been built to allow the ES/AD to update each individual student-athletes or preform a mass update with the opportunity to further edit. The Mass Update feature is outlined in **Step: 8** With the mass update feature, the ES/AD can still make individual adjustments before submitting the End of Season Roster/Form 3 to the Head Coach for approval. **Please be aware that the entire Roster/Form 3 moves as a group in this workflow approval process**.

Click on the **pencil icon** in the row of the first student-athlete in the column "Did this student compete?"

Select the option of either "Yes" or "No".

Click the "Save" button

Once you have completed this for each student-athlete. Review to confirm that every student-athlete as a response to the question of "Did the student compete?" If everyone has a response follow these next steps to launch the workflow for approvals by the Head Coach, AD and final verification by the Commissioner.

Mass Update Feature for Competition Status

Click this checkbox select all.

All those student-athletes selected will be updated with the competition status based on the button selected by the ES/AD. **Mark Competed** - All student-athletes selected will be marked as Competed. You can deselect those student-athletes who did not compete and removing them from this mass update.

Click "Finish"

All those student-athletes selected will be updated with the competition status based on the button selected by the ES/AD. **Mark Did Not Competed** - All student-athletes selected will be marked as NOT competed. You can deselect those student-athletes who competed and removing them from this mass update.

Click "Finish"

The ES/AD can still adjust an individual student-athletes status after the mass update feature has been utilized by clicking on the pencil icon.

Alert! Confirm that every student-athlete as a response to the question of "Did the student compete?" If everyone has a response follow these next steps to launch the workflow for approvals by the Head Coach, AD and final verification by the Commissioner.

End of Season Submission

Follow the below steps to submit the End of Season Submission process for approval by the Head Coach, AD and final verification by the Commissioner. A best practice is to do these steps in a meeting with the Head Coach, AD and Athletic Trainer.

Click "End of Season Submission" button

Note will populate with how many student-athletes are being submitted for the End of Season Submission for the team. Click the "Next" button to advance the student-athletes for Head Coach approval.

Upon submission the Tech Hub will take the ES/AD back to the main page. The student-athletes Final Form 3 Status will update to Pending Head Coach Review. The Head Coach will receive an email prompting them to login to the Tech Hub to review and approve the request.

By clicking on the header the ES/AD can sort the list of student-athletes by their status type.

From this page the ES/AD can monitor the progression of approvals.

Export an Excel Report

Tip! The ES/AD can prepare the End of Season Submission and before advancing it to a Head Coach for approval, they can export the information for review by following these steps.

Select the format of the export.

Click "Export"

Be sure to allow downloads from your web browser to access the export.
