Tour Tracking: Enablement, Alerts & Reporting

Creating a memorable first impression when a Tour is in the building can help ensure prospective residents turn into current residents and introducing prospects to Accushield shows that your community cares about the safety and security of those who live in your building. Tour Tracking allows you to gather important information through the Kiosk from Tours and provides you with Prospect profiles and Tour reporting within the Dashboard.

Navigate to [https://dashboard.accushield.com/](https://dashboard.accushield.com/settings/health-screening)

Click "Settings" & "Sign In Features"

If "Enable Tour Tracking" isn't already checked, check the box next to it.

Click "Save"

Click "Settings" & "Alerts"

Scroll down until you find the section for "Tour Alerts" If your alert has a red bell icon - that means that there's an alert created that does NOT have a recipient chosen to receive it. This typically happens whenever a staff member is setup to receive an alert, but then leave your community to work elsewhere.

Click "View"

You aren't required to make any updated on the first page, however, you are welcome to make changes if you'd like to.

Click "Next"

Next is deciding which staff will actually be receiving this alert and how they will be receiving it (email, text or both) Multiple staff can be chosen to receive this alert, if necessary.

If you can't find the name of the staff member you want to receive this alert, try toggling the "View All Staff Members" option. That should expand your view. If the staff member still isn't visible, even after toggling that on, they may need to be added to your Staff Roster or their profiles may need phone numbers / emails added to them. Click "Update" once done.

Click "Guide" & "Tours"

The Tours landing page provides insight into occupancy (empty beds), tour counts and open prospect details. The Prospects table at the bottom will list everyone that has signed-in with that Tour kiosk flow. Click on a person's name to see their details.

Click "EDIT" to add notes or additional details to their account.

Keeping their Status as Prospect will keep them in the Prospects Table.

Change their status to Lost if this person decided not to move into your community. Their account will be moved onto the Reports page moving forward.

Change their status to Won if they did decide to move into your community. This will move their account to the Resident tab and they will appear as an active resident in your roster moving forward.

Click "Save" once you're done updating their account.

In that Prospect Table, if a prospect tours multiple times, you can check the box next to their multiple entries and click "Merge" - you can also click "Add" if there is a tour that didn't utilize the kiosk Tour flow to sign-in.

From the Tours Overview page, "REPORTS"

This page shows a list of Prospect Residents that have been identified through our Tour flow. Adjust the date range & click "Run Date Range" to see large or small amounts of reporting.

Back on the Tours Overview page, you should see Occupancy graphs. We fill in that data utilizing your active Resident list in the dashboard and your communities current bed counts.

To edit or view the bed counts we have in our system, click on "Settings" & "Buildings"

Check the box next to your building & click "Edit"

Update the "# of Beds" or "# of Rooms" field.

Click "Update"
