Understanding a Contact Record in HubSpot

Learn how NICA contacts are organized and where to find key information about coaches, riders, parents, and teams. Contacts are used in your audience segments for email marketing.

Navigating Contacts in the NICA CRM

Contacts are individual people in HubSpot, such as coaches, riders, parents, and league staff. Navigate to CONTACTS in your left navigation bar

You have an "All contacts" view. As well as other SAVED VIEWS for your Contacts and Companies.

Click "Active Coaches". This provides you a list of all your coaches registered for this current season. One contact can have multiple roles in NICA. We know their roles by looking at their Contact Labels.

Alert! A person may simultaneously be: - a coach - a parent - and league staff

"Contact Labels" inform the relationship of a contact to our NICA community. \ Contact Labels help organize and categorize people within HubSpot based on their relationship to NICA, a league, or a team. A single contact may have multiple labels and roles associated with them over time. Examples include: Coach Rider Parent League Staff

You can either click the dynamic NAME to open the full Contact Record. Or Click "Preview" next to a contact entry to see a quick overview.

Click the record name in Preview pane to open the profile. You can view demographic information as it relates to a contact here. Scroll down in this view to see more.

You can see league association. Address. Phone Number. And more...

Click the dynamic name to see the full Contact Record. When here you can see Contacts are associated with teams, leagues, or other companies to help organize communication and reporting. NICA-specific properties help us segment our communications and understand participation status.

Reviewing Record Associations

Companies and Contacts are associated to each other. You can click inside the associated company (Leagues, Teams, etc) to Expand the "Companies" section to see the associated teams to your league or to a contact.

You can sort by "Current Coach License Level". CLick the heading to sort.

NOTE! These labels and properties help leagues: build accurate email audiences segment communications understand participation history organize reporting and outreach It is important to note that some labels represent historical participation (Year Coached), while others show Current (Current License Level or Coach Active)

Contact Search and Selection

Type a name into the Search field.

Click the name to open the contact record.

Navigate to the "Coach Info" Or "Rider Info" tab to see Contact Coach or Rider Information, Activities if you want to see a timeline of actions taken such as emails opened by a specific contact.

You can see associated contacts to each other such as Coach, Parent to a Rider.

Team and League Details

Inside a Contact you can see associated Companies such as Leagues and Team. Click "Northside Indy Composite Team" or the corresponding TEAM to have an overall look of that Team or League and all contacts associated to it.

Navigate to the "Team Info" tab.

Click "Indiana Interscholastic Cycling League"

Click "Preview"

Click "Coach Info"

Click the record name in the Preview pane.

Click "Close"

Click "DR - NICA Safety Study Designated Reporter, HC - Head Coach, TD - Team Director"

Click "Brian Enlow"

Click "Details" to view Coach Role history.

Click "Close"
