Updating Expense Delegates

This guide is vital for ensuring efficient management of expense reporting within your business unit as it provides instructions on how to designate and update expense delegates. Additionally, it includes the steps to follow to remove expense delegates directly in Concur.

**Please note:** Unless your business unit requires all employees to create their own expense reports, you must establish expense delegates to create expense reports on behalf of employees. The only way to identify and connect expense delegates to employees is via the Expense Delegates tab of the [Concur Workflow & Expense Delegate Spreadsheet ](https://duke.box.com/s/h9spug4imdiorijgqany0my43c9titbu)**.** [Instructions](https://duke.box.com/s/naxs00lx565aucxlzooaf7b8derxemv6) are available if you need assistance. While it may appear that users can set expense delegates in their profile settings, that functionality is not currently enabled.

Using the *Concur Workflow & Expense Delegate Spreadsheet*, under the **Expense Delegates** tab, in the **Expense Delegates – columns A – C** – Provide the Owning Org Unit of the Employee, Name, and DUID of the employee who will create expense reports (expense delegates) on behalf of other employees.

Under the **Expense Delegates** tab, in the **List of Employees - Columns D - G**, Provide the Name, DUID, and Owning Org Unit of the Employees to add to the expense delegate's list of employees. This list displays in Concur.

**Please note:** As changes occur, submit a revised spreadsheet to Employee Travel and Reimbursement (ET&R) via a [Customer Support Request](https://finance.duke.edu/departments-services/controllers-division/travel-reimbursements/contact-us/submitting-employee/). ET&R will update expense delegate information. If an expense delegate needs organizational unit access, please contact ET&R via a [Customer Support Request](https://finance.duke.edu/departments-services/controllers-division/travel-reimbursements/contact-us/submitting-employee/) for additional instructions.

Removing an Expense Delegate in Concur

Expense Delegates can delete employees from their employee list in Concur; they do not need to contact ET&R. From the Concur Homepage, select **Profile** and then select ***Settings***.

On the left-hand side, under **Expense Settings**, select **Expense Delegates.**

Under the **Delegate For** tab, put a check mark to the left of the name of the employee you would like to delete and select **Delete**.

Removing an Expense Delegate in Concur

Expense Delegates can delete employees from their employee list in Concur; they do not need to contact ET&R. From the Concur Homepage, select **Profile** and then select ***Settings***.

On the left-hand side, under **Expense Settings**, select **Expense Delegates.**

Under the **Delegate For** tab, put a check mark to the left of the name of the employee you would like to delete and select **Delete**.
