Updating a version of a file in Hubspot

This guide provides a process for updating an EXISTING file in HubSpot, ensuring that the most up-to-date version of a file is accessible wherever it is linked within the NICA digital ecosystem. This is particularly important for outward-facing documents (like coach education requirements) that are accessed by a broad audience. You can make these updates without impacting existing links, and the new version will be applied globally.

Begin by downloading your document as a PDF and saving it to your computer.

**Tip!** If your file is also saved as a PDF on Google Drive, now is a perfect time to hop into Drive and update your file version there, too. *Locate the old file, right-click on the file name, and select "Manage versions" to swap.*

Switch to Hubspot and look for the **CONTENT menu** on the left side of your home screen.

Click "Content"

Click "Files"

IMPORTANT! The next few steps may vary depending on what you are updating.

If your file has already been added to Hubspot, it is important to locate it and **replace** it. DO NOT upload a new version of the file.

Click the "Search by name, descriptions, or folders" field.

Search for your file to locate it.

Once you've located the file, click "Details"

Click "Replace"

Click "Replace file" in the dialog box.

That's it! You've now overwritten the previous file version and anyone who accesses the file link will see the updated version. **Nice work.**
