1
Go to the users section from the menu on the left and 'Add New User' from the pink menu button.
2
Add the name and email address, then set the level of permissions.
3
And repeat for each additional user
4
Back to the planner, on selecting jobs, the assign action will appear at the top with the list of assignees
5
There will be the option to either assign the appointment(s) to this assignee just this time, or 'all' appointments in the recurring schedule for repeating jobs. Once assigned, you'll be able to see the assignee attached to the appointment on the planner.
6
Repeat to assign all of the jobs in the list for that day to add the jobs to those users 'my work' section and 'day pilot'.
7
Above the chart, there is the option to change the view to 'users' or 'teams'
8
Within the users view, you can then click through to see the assigned work for each user.
9
You can set the order of the work to the optimised drive on each user if you wish, by going to the pink menu button (when viewing the jobs assigned to one user / team) and selecting 'optimised drive.' You'll then be prompted to enter the start and end addresses.
10
Once the work is assigned to users / teams, it will be visible on the 'my work' section of the user's app on their device.
11
To mark a job as done, it can be swiped to the right. This will change the status of the job to 'done' and if the global settings on the account are set to auto invoice and auto send invoices, then the invoice will be created on the customer and sent to the customer via their default notification method.
12
If any adjustments to the job need to be made such as the service or price, they can be edited, which will also update the invoice as long as it is before a payment has been allocated. To do this, press into the job and scroll to 'services'
13
This will allow you to add / edit / remove services and update the price before saving. Note - This is subject to the user permissions and whether prices have been hidden either globally or for this customer / job.
14
Once complete, the update can be seen on the job here.
15
On the owner / admin account, an alert will come in when a worker has modified a job like this.
16
On pressing into the alert, you'll be able to go through to the job and / or customer directly.
17
Owners and admins can view the invoice from the invoice tab on the customer or from the 'view invoice' option at the bottom of the job itself when pressing through from the planner.
18
This shows the invoice summary, to view the invoice itself press 'preview invoice' from the pink menu button.
19
Then to view the invoice message if this has been sent, go to the messages tab on the customer.
20
Tap here.
21
The other actions a worker can perform from the 'my work' section are skipping jobs or undoing the done or skipped actions. \ To mark a job as skipped, the job can be swiped to the left.
22
There is then the option to add a skip reason if these have been set up in global settings.
23
The skipped job will show in yellow on the planner. To undo any jobs that have been marked as skipped or done by mistake, swipe left again. If an invoice has been generated, this will be cancelled.
