Accessing the Application

Go to the Nichibei Girls Collaborative homepage on VIA's website: <https://viaprograms.org/expand-your-boundaries/nichibei-girls-collaborative/>

To view information under the blue section headers, click the title or the "+" symbol to the right. The sections will expand to show more information.

In the Application section, you can preview the application questions.

When you are ready to start your application, click the blue APPLY button. There is one at the bottom of the Application section.

There is also an APPLY button at the top of the page.
Both APPLY buttons take you to the same application form.
Creating a Login

On the application portal login page, create a login using your Google or Microsoft account, or your email address and a password.

If you already started an application, click the "Returning User" link under the Submit button to log in.

If you are a returning user, enter your email address for your username and the password you created.
If you forget your password, use the "Forgot Password?" link to reset your password.

If you already started an application, click the **Edit** button to continue working on your partial application.
Basic Information Sections

After reading the instructions on the first page, click **Next** to continue.

Answer all required questions on the first page.

In the Citizenship question, you may choose Japan, United States, or Other (if you are a dual citizen, select all that apply to you). If you select "Other," type the name of your country of citizenship in the field below.

If you already have a passport, enter the expiration date in the field below.
You do not need to have your passport when you apply for the program. You will have time to get your passport after you are accepted.

After answering all required questions on the page, click **Next**.
Recommendation Writer Information

The next page includes a link to the Recommendation Writer Form. Click the link to open the form in a new window.

The Recommendation Writer Form will open in a new window with your name and email address already filled in. Please verify that they are correct.

Enter your recommendation writer's full name, email address, and relationship to you.
One recommendation is required; a second recommendation is optional. **Recommendations cannot be written by a family member.**

After entering the details for your recommendation writer(s), click **Submit**.

You will see the confirmation screen. You can now close this window and return to the window with your application.
**What happens next?** - Your Recommendation Writer(s) will receive an email from [noreply@fs23.formsite.com](mailto:noreply@fs23.formsite.com) with a link to a separate Recommendation Form. Please let them know to expect an email (and check their spam folder). - If they don't receive the email, please contact Melissa Golden, VIA Director of Operations ([melissa@viaprograms.org](mailto:melissa@viaprograms.org)) - Ask your recommendation writer to **complete the form by the application deadline (May 19 for students in the US, June 9 for students in Japan)**. - You will receive an email notification when your recommendation writer completes the form.
If you closed the window with your application, click the "application portal" link to open it and log back in.

From the Recommendation Writer Contact Form page, click **Next**.
Essay Questions

The next page includes all of the **Deeper Questions**. When you start typing in the text box, the preview text will disappear. However, the question prompts are also written below the text boxes so you can still see them as you type.
Take your time in considering your responses to these questions. You are welcome to compose your responses in a separate document, and then copy and paste them into the form.

After completing your essay questions, click **Next**.
Potential Team Members

The first part of the last page invites you to list the names of potential team members. **List at least two**, but you may list up to five.
Even if you enter five potential team members, the final team will still only be three people. By listing more than two potential team members, you can let VIA know all of the people you would be interested in working with.

Enter the individual's full name and a brief description of how you've worked together in the past.
Remember that each student must submit their own application to the program. If you list someone who hasn't started an application yet, please encourage them to apply!
Parent / Guardian Contact Information

The final section of the application asks you to provide contact information for your parent or legal guardian. Enter your parent or guardian's full name and email address. You may also provide a cell phone number or messaging app profile where they can be contacted by text message.

After completing all sections of the application, click the **Submit** button.
**What happens next?** - Your parent or guardian will receive an email from [noreply@fs23.formsite.com](mailto:noreply@fs23.formsite.com) with a link to a separate Commitment of Support form. Please let them know to expect an email (and check their spam folder). - If they don't receive the email, please contact Melissa Golden, VIA Director of Operations ([melissa@viaprograms.org](mailto:melissa@viaprograms.org)). - Ask your parent or legal guardian to **complete the form by May 31 for students in the US, or June 28 for students in Japan**. - You will receive an email notification when your parent or guardian completes the form.
Application Next Steps

VIA staff will review your application in consultation with representatives from your high school. If your application is selected to move forward, you will be invited to join an online group interview.
You can still update your application by logging back in and clicking the **Edit** button if you need to make changes before the deadline.
