View Person Organizational Summary

This guide provides step-by-step instructions to view all organizational relationships for an Employee or Contingent Worker (CWR) in UCPath. The Person Organizational Summary page displays historical, current, and future-dated employment details across all business units.

Navigate to UCPath [https://ucpath.universityofcalifornia.edu](https://ucpath.universityofcalifornia.edu/home)

On the **Workforce Administration** homepage, click the **HR Tasks** tile.

On the left navigation pane, select **Person Organizational Summary**.

Enter search criteria in one or more search fields. For the most accurate search results, use the **Empl ID** field.

Click the **Search** button.

If only one Empl ID matches the search criteria, UCPath automatically displays the **Person Organizational Summary** page. If more than one Empl ID matches the search criteria, in the **Search Results** section, click the **arrow** icon at the end of the row to select the appropriate person and display the **Person Organizational Summary** page.

The search results display all organizational relationships related to the selected employee. Choose any of the records under the search results.

The *Person Organizational Summary* page displays the person's assignments grouped in the **Employment Instances** section and/or the **Contingent Worker Instances** section. **NOTE:** This example only displays the **Employment Instances** section.

In each section, UCPath displays the Empl Record with the lowest number, which is typically Empl Record 0. If the person has more than one Empl Record in each section, the navigation header for the section identifies the total number of records. **NOTE:** For this example, the Empl Record in the **Employee Instances** section is 0 and the navigation header indicates there are 2 records as an employee.

Click the **View All** link to display all assignments within a section.

If the employee has multiple assignments, one of the assignments will have the **Primary Job** indicator box selected.

Each Empl Record has a fixed header that displays: - The **HR Status** field and the **Payroll Status** field. - The **Last Hire** date. - The **Termination Date** and reason (these fields are blank for an active Empl Record). **NOTE:** The information displayed reflects the status at the time the page is viewed. Future-dated transactions only appear when the **View All** hyperlink is selected.

Locate the number in the **Empl Record** column to review the information associated with each job record the employee holds.

The **EFFDT** field displays the effective date of the employee's last job data change for the Empl Record.

If there are multiple effective dates for an Empl Record, the navigation header for the Empl Record identifies the total number of rows. Click the **View All** hyperlink to display all effective dates for an Empl Record. **NOTE:** For this example, each Empl Record has only one effective date.

The **HR Status** field displays the person's HR Status for the Empl Record as of the effective date.

Locate the **Business Unit** field to confirm the employee's associated location(s). At UCLA, the Business Units are **LACMP** for UCLA Campus and **LAMED** for UCLA Health.

Locate the **Position Number** column to identify the position number associated with the employee's job record. **NOTE:** Contingent Worker Instances may not have a position number.

Locate the **Dept ID** and **Department Description** fields to identify the employee's assigned department.

Locate the **Job Code** field and **Description** field to review the job code associated with the Empl Record.

If applicable, review the employee's **Expected Job End Date**. This field is typically used for contract and student employees.

Locate the **FTE** column to identify the full-time equivalency associated with the employee's job. Notice that in this example, the employee's primary job (Empl Record 1) has an FTE of 1.0 and their secondary job (Empl Record 0) has an FTE of 0.

Locate the **Empl Class** and Union Code fields to review the classification type and bargaining unit to which this employee belongs, if applicable.

Locate the **FLSA Status** column to determine whether this employee is Exempt or Non-exempt from overtime, as established by the Fair Labor Standards Act (FLSA). **NOTE:** The FLSA status defaults from the position associated with the employee.

Locate the **Pay Group** column to review the employee's associated pay group, which is determined by their job details. Refer to the *Pay Group Assignment, Configuration, and Code List* on the [Template Transactions Resource Guide](https://scribehow.com/page/UCPath_Template_Transactions_Training_Guide__5bUBG_2KTFKTN0PtJsrdMA?referrer=documents) for detailed information regarding interpreting the code.

Locate the **Employee Type** column to determine whether the employee is Salaried (S) or Hourly (H).

Locate the **Probation Code** and **Probation End Date** fields to identify the employee's probation status and end date, if applicable.

When your review is complete, click the **Return to Search** button.

Click the **Clear** button to search for another person.
