Wrike: Person Info

Wrike is the PMA interactive filing cabinet between the group Admins and the Division Office. This is where we track postdocs, Visitors, Visiting Faculty, as well as Research/Teaching Faculty. The Division Office (Jessica Varlet) creates the folder and tasks for the duration of the appointment. The folder is then shared with the Admin on the case.

Wrike

If you need to look someone up, log in your account, navigate to "Search" and type the name of the person.

Click the name of your person under Folders (with a folder icon on the left of the name).\ **Tip:** You may be offered several options under Tasks, Folders, Files. Only click the option from Folders, that will take you directly to the person's folder.

You are now in the person's folder. Click the **Info** button.

You now have access to the person's information. The fields are sorted by alphabetical order (automatic). \ **Tip 1:** The UID is at the bottom of the fields. Do no use the ID number at the top, which is a Wrike ID number (cannot be removed). **Tip 2:** The effective start and end dates are updated in the fields after HR confirms the onboarding. The dates may be different than what was submitted in the paperwork. Do not trust the dates on the paperwork or contract, trust the dates in those fields.

If you don't see the fields, click "**More**" on the top right corner.

This is the list of tasks that we will tackle during the appointment period. This view shows the task type, when the reminder will start, when the reminder is due, the task status, the person who is assigned to act on the task. A naming convention is followed: rank acronym – Action type – effective date The \[Paperwork\] task refers to the paperwork submitted to HR and ISS. This is where we track the paperwork in the system. The division updates the status of the paperwork as things move along.

If you are asked where we stand on a new hire, look the status of the \[Paperwork\] task. In this case, you can see that the HR letter is signed by the appointee. Examples of when it is useful:\ PI asking if we're on track\ Incoming PD saying they haven't received their letters (yes, that happens even if the status shows "signed by appointee").

You can see when the status was updated for a more complete history.\ \ How does that help?\ Let's say your incoming PD says they haven't received their contract. - If the status is stuck at "HR letter emailed to appointee", suggest to your PD to check their spam box as it seems that HR emailed them their letter around \[date\] - If the status is stuck at "HR letter approved for signing" and it's been more than 4 weeks, add comment @jessicavarlet and ask to check on the letter status. If it's been less than 4 weeks, ask you PD to be a bit more patient. - If the status is stuck at "HR letter signed by appointee", remind them they signed their letter around \[date\]
