  • Review learner activity and reporting

  • Configure organization settings

Key Concepts

The following terms are used throughout the PMI Partner Platform:

Term

Description

Agreement

Your organization's purchase or contract with PMI, including available products, quantities, and agreement details.

Learner

An individual who has been invited to access and consume PMI products through your organization's agreement.

Administrator

A person who can manage learners, product assignments, agreements, reporting, and organization settings.

Reporter

A person who can view learner and reporting information but cannot make changes within the platform.

Note: Older documentation may reference the Training Hub. PMI has updated platform terminology to Partner Platform.

Getting Started

This guide provides step-by-step instructions for using the Partner Platform. It includes reference information, screenshots, and interactive procedures to help administrators complete common tasks.

Throughout the guide, you will find:

  • Explanations of platform features and functionality

  • Visual examples using static screenshots

Procedure: Access the Help Center and Launch the Platform Tour (Interactive)

2. Access, Authentication, and Roles

Authentication and Data Sharing

The PMI Partner Platform allows learner information to be shared between the learner, their organization, and PMI. This information is used to support redemption management, eligibility verification, learner progress tracking, and reporting.

When learners choose to share their information, administrators can view learner activity and progress through the Partner Platform reporting tools.

Learners may choose to opt out of data sharing. If a learner opts out, they will still have access to their assigned products; however, certain learner information and activity details may not be visible to administrators within the organization.

Two-Factor Authentication

Two-factor authentication (2FA) is used to help protect user accounts and product redemptions. Users may be required to complete an additional verification step when signing in to the Partner Platform.

Administrator Roles

The role assigned to an administrator determines the actions they can perform within the Partner Platform.

Administrator

  • Manage learners

  • Assign and remove products

  • Invite and manage administrators

  • Access reporting

  • Update organization settings

Reporter

  • Access reporting

  • Review agreement information

Reporter Restrictions

  • Cannot access the People page

  • Cannot manage learners

  • Cannot assign or remove products

  • Cannot manage administrators

  • Cannot update settings

Invite an Administrator

Use the following procedure to add a new Administrator or Reporter to your organization.

Procedure: Invite an Administrator (Administrator / Reporter) (Interactive)

Admin Tip: Use the Reporter role for stakeholders who require visibility into learner activity and reporting but should not have permission to make changes within the platform.

Important: Effective April 25, 2026, the Custom Admin role was retired. Organizations now use the Administrator and Reporter roles to manage access and permissions within the Partner Platform.

3. Home (Agreements)

Understanding the Home Page

The Home page is the primary landing page for administrators and provides a centralized view of all agreements associated with your organization.

From the Home page, you can:

  • View active agreements

  • Access expired agreements

  • Review agreement details

  • Monitor learner registration counts

  • View product allocations and availability

  • Access agreement-specific actions and reporting

To view additional information, select an agreement from the list. The agreement details page provides information such as the Agreement ID, agreement statistics, registered learner counts, and available products.

Home - All Agreements View

Home - Agreement Details View

Viewing Expired Agreements

Administrators can switch between active and expired agreements using the Active and Expired tabs located on the Home page.

Admin Tip: If your organization has multiple agreements, verify that you are viewing the correct agreement before assigning products or reviewing reporting data.

Viewing Order History

Order History provides ATP administrators with a record of orders associated with their organization. If Order History is available for your account, you can use it to review order details and connect an order to its corresponding agreement.

Within the Order Summary, the Order Number corresponds to the final portion of the associated Agreement ID. This can help you identify which agreement was created or updated through a particular order.

Note: Order History is currently available only to ATPs. If your organization is not an ATP, this option will not appear in your navigation, and no action is required.

4. People

The People page allows administrators to manage learners and administrators associated with their organization. From this page, you can search for users, review access details, manage administrator permissions, and perform available user actions.

Users

The Users view displays information about learners who have been invited to access products through your organization's agreements.

Information displayed may include:

  • Learner name

  • Email address

  • Product assignments

  • Access status

  • Invitation details

  • Available user actions

Administrators

The Administrators view displays users who have been assigned administrative access to the Partner Platform.

Information displayed may include:

  • Administrator name

  • Email address

  • Registration date

  • Assigned role

  • Available administrative actions

Depending on your permissions, you may be able to edit administrator details or remove administrator access from this page.

5. Inviting and Managing Learners

Granting Product Access

Administrators can invite learners and assign products available within an agreement. During the invitation process, you can assign either all available products or select specific products.

Learners can be invited individually or in bulk using a CSV file upload.

Add Learners and Assign Products

Use the following procedure to invite learners and assign products from either the Home page or the People page.

Procedure: Add Learners to an Agreement from the Home page (Interactive)

Procedure: Add Learners to an Agreement from the People page (Interactive)

Additional Information

  • Multiple email addresses can be entered at one time by separating each address with a comma.

  • Administrators can upload a CSV file using the provided template to invite multiple learners at once.

  • Products can be assigned during the invitation process.

Admin Tip: If you close the invitation workflow before completion, any unsaved changes will be lost and the process must be restarted.

Important: Creating Duplicate Learner Records: Before sending an invitation, always check whether the learner already exists in the system. Inviting the same individual using a different email address can create duplicate learner records, which may lead to confusion, fragmented learning history, or issues with product access and completion tracking. To ensure a seamless learner experience and accurate reporting, verify whether the learner already has an account and use their existing email address whenever possible.

Updating a Learner's Email Address

If a learner needs to change the email address associated with their Partner Platform account, the organization's Administrator must submit the request directly to PMI.

To request an email address change:

  1. Email [email protected] with the learner's current email address and requested new email address.

  2. PMI will review and process the request.

  3. Once updated, the learner will retain their existing account, product access, assignments, and learning history.

Note: Changing a learner's email address does not change their username.

Important: Learners cannot request this change directly from PMI. All email address change requests must be submitted by their organization's administrator.

Domain-Based Access

Domain-Based Access allows learners with an approved email domain to self-register using an organization-specific URL.

Procedure: Set up Domain‑Based Access (when enabled for your agreement) (Interactive)

Admin Tip: If Domain-Based Access options are not available, verify that the selected agreement supports Pay-by-User enrollment.

Important: When using Domain-Based Access, learners must verify their email address before accessing assigned products.

Removing and Restoring Learner Access

Access can be removed for learners by setting their status to disabled. A learner can be re-enabled if necessary.

Disable a Learner

When a learner's status is set to disabled:

  • The user will no longer be able to access the platform.

  • Products assignments will be unassigned, returning the quantities to your allotment

  • Product assignments are unassigned.

Procedure: Remove (disable) a learner (Interactive)

Enable a Learner

If a user's profile is disabled, you have the option to enable it again.

Important: If you enable a previously disabled user, you must assign them at least one product. In order to set a learner's status to disabled, they must not be assigned to product(s).

Admin Tip: Learners and administrators are managed differently. Learners can be restored after being disabled; administrators cannot be restored after removal and must be re-invited if access is needed again.

Deleting a Learner

Learner deletion permanently removes the learner record from the agreement.

A learner can only be deleted if:

  • The learner has been disabled.

  • No assigned products have been consumed.

Procedure: Delete a Learner (Interactive)

Important: Deleting a learner permanently removes the learner record and cannot be undone.

Admin Tip: If you may need the learner to regain access in the future, consider disabling the learner instead of deleting the record.

Bulk Learner Actions

The Partner Platform supports bulk actions for managing multiple learners at the same time.

Available bulk actions may include:

  • Add Products (Bulk)

  • Remove Products (Bulk)

  • Disable Access (Bulk)

  • Resend Invitations (Bulk)

  • Re-enable Users (Bulk)

Procedure: Bulk Actions (Interactive)

6. What Learners See During Registration and Access

Administrators can view the learner experience to better understand how products are redeemed and accessed after assignment.

Learner Invitation

Learners may receive access to the Partner Platform through one of two methods, depending on how the organization is configured:

  • An invitation email sent by an administrator.

  • Automatic access based on the organization's verified email domain.

For organizations using domain-based access, learners must have their company email address added to and verified within their PMI account. During the access process, learners may also be prompted to complete two-factor authentication (2FA) verification before access is granted.

The example below shows the invitation email a learner receives when access is assigned by an administrator.

Learner Privacy and Reporting

Learners can choose whether to share their information with their organization. When a learner opts out of data sharing, reporting visibility may be limited depending on the agreement type and payment model.

Note: Anonymous learners are always included in aggregate reporting totals regardless of data-sharing preferences.

If a learner would like to change their opt-in preference, they may do so from the Settings tab.

Redeeming Products

When learners log in to the Partner Platform, assigned products appear in the platform under Available to Redeem/Purchase. The redemption process varies slightly depending on your organization's set up.

  • Pre-paid Product Redemption: If your organization has already purchased the product for you, redeem it directly at no cost to gain access.

  • Paid Product Redemption: Add the product to your cart and complete checkout to purchase and access the product.

Note: PMI Membership pre-paid redemptions may differ slightly from standard redemptions and may include optional membership renewal selections.

During membership redemption, learners may see:

  • An optional Auto-Renewal selection

  • A credit card entry screen

  • A Redeem Now & Renew Later option

Important:

  • A credit card is not required to activate an organization-sponsored PMI Membership.

  • Auto-renewal is optional.

  • To skip auto-renewal, select Redeem Now & Renew Later.

  • Enabling auto-renewal does not result in an immediate charge. It simply schedules renewal for the next membership term.

7. Reports

The Reports page provides visibility into learner redemption, product utilization, and learning progress across your organization's agreements.

Administrators and Reporters with reporting permissions can use Reports to monitor activity for certifications, eLearning products, memberships, and other eligible PMI offerings.

Admin Tip: To quickly access reporting for a specific agreement, first open the agreement from the Home page and then navigate to Reports. The selected agreement will automatically remain active, helping you avoid searching for the agreement again.

Understanding Reports

Reports are organized by agreement and product, allowing administrators to review learner engagement and progress for specific PMI offerings.

Reporting data varies per product, but may include any of the following:

  • Product availability

  • Product redemption

  • Certification status

  • Course completion status

  • Membership activity

  • Learner progress

Important: Data from Pay-by-User agreements is not included in the All Agreements reporting view. To view Pay-by-User reporting data, select the specific agreement.

View Product Status Details

Administrators can review learner progress and status information for individual products.

Examples may include:

  • Exam Not Scheduled

  • Exam Scheduled

  • Exam Failed

  • Exam Results Processing

  • Certified

  • Not Started

  • In Progress

  • Completed

Procedure: Find detailed status lists for a product (Interactive)

Admin Tip: Use product dashboards to identify learners who may need additional support or reminders, such as learners who have not started a course or have remained in progress for an extended period.

8. Settings

The Settings page allows administrators to customize certain aspects of their organization's Partner Platform experience.

Available customization options may include:

  • Account name

  • Support contact information

  • Organization logo

  • Custom welcome message

Customize Organization Settings

Administrators can update organization branding and messaging from the Settings page.

Procedure: Upload your organization logo and create a welcome message (Interactive)

Important: Changes must be saved before they are visible to learners within the Partner Platform.

9. Troubleshooting

The following table outlines common issues administrators may encounter, along with recommended actions and escalation guidance.

Common Issues

A learner cannot find the original platform link

Likely Cause
The invitation email was deleted, or the learner does not have the organization's platform URL.

Recommended Action
Use the Copy Link option on the Home page and provide the organization URL to the learner.

When to Escalate
Contact [email protected] if the learner is still unable to access the platform after using the correct link.

A learner did not receive an invitation email

Likely Cause
The email may have been filtered by spam, quarantine, or email security settings.

Recommended Action
Verify the learner's email address and ask them to check their spam, junk, and quarantine folders.

When to Escalate
Contact [email protected] if email security settings appear to be blocking invitations.

The platform indicates the learner already exists

Likely Cause
The learner record already exists within the agreement.

Recommended Action
Resend the invitation instead of creating a new learner record.

When to Escalate
Contact [email protected] if invitations continue to fail or unexpected errors occur.

A learner was removed by mistake

Likely Cause
The learner's access was disabled.

Recommended Action
Restore the learner and reassign products as needed.

When to Escalate
Contact [email protected] if the learner cannot be restored.

Additional learner licenses are needed

Likely Cause
The agreement has reached or is approaching its allocation limit.

Recommended Action
Contact your PMI Point of Contact to discuss additional licenses or agreement options.

When to Escalate
Commercial and contractual requests should be directed to your PMI Point of Contact.

11. Frequently Asked Questions (FAQ)

Learner Access & Registration

Q: How do learners access the Partner Platform?

A: Learners may access the Partner Platform through:

  • A direct invitation from an administrator, or

  • Domain-Based Access (when enabled for the organization).

For Domain-Based Access, learners must use an approved company email address and verify that email within their PMI account.

Q: What is the difference between Direct Invitation and Domain-Based Access?

A: A Direct Invitation is sent by an administrator to a specific learner. Domain-Based Access allows eligible learners with an approved company email domain to self-register using the organization's Partner Platform URL.

Note: Configuring Domain-Based Access does not automatically invite learners or grant product access.

Q: What should I do if the platform says a learner already exists?

A: Locate the existing learner record and resend the invitation instead of creating a new record with a different email address.

Creating duplicate learner records can lead to:

  • Fragmented learning history

  • Reporting inconsistencies

  • Product access issues

Learner Management

Q: What happens when a learner's access is disabled?

A: Disabling a learner:

  • Removes access to the Partner Platform

  • Requires any unconsumed product assignments to be removed

  • Returns eligible unconsumed products to the organization's available allocation

Learners can be re-enabled later. At least one product must be assigned when re-enabling access.

Q: Can a learner be disabled or deleted?

A: Yes.

  • Disable a learner when you want to immediately prevent future access and product redemptions while preserving the learner's record.

  • Delete a learner when they should no longer be associated with the agreement.

Important: Learners who have redeemed or consumed products may not be eligible for disablement or deletion. Deletion permanently removes the learner record and cannot be undone. If future access may be needed, disabling the learner is recommended.

Q: How should organizations manage access when an employee leaves?

A: Organizations should use corporate email addresses whenever possible when inviting learners.

When an employee leaves:

  • Disable the learner's Partner Platform access if it is no longer required.

  • Organizational email and authentication controls may help prevent continued access.

The learner's PMI account remains their personal account, including:

  • Successfully redeemed products

  • Certifications associated with that PMI account

Q: What should I do if a learner was disabled by mistake?

A: Re-enable the learner and assign at least one product. If the learner cannot be restored, contact Partner Support.

Q: Can I test the learner experience?

A: Yes. Administrators can invite themselves as learners to experience the platform from a learner's perspective.

Use:

  • /admin for the Administrator Portal

  • /hub for the Learner Hub

This allows administrators to validate the learner experience while retaining administrative access.

Administrator Access & Roles

Q: Can administrator access be limited to specific agreements or user groups?

A: No. Administrative access is assigned at the account level and cannot currently be restricted to specific agreements or groups of learners.

Q: How are administrators added or removed?

A: Existing Administrators can:

  • Invite new Administrators

  • Invite users with the Reporter role

  • Remove administrator access when it is no longer needed

Note: Removed administrators cannot be restored and must be re-invited if access is needed again.

Q: Can administrators invite multiple learners at once?

A: Yes. Administrators can:

  • Enter multiple email addresses during the invitation process, or

  • Upload learners using the provided CSV template

Products can also be assigned during the invitation process.

Reporting & Analytics

Q: Who can access reporting?

A: Users assigned either of the following roles can access reporting:

  • Administrator

  • Reporter

Reporting is available for the organization's applicable product agreements.

Note: Pay-by-User agreements are not included in the All Agreements reporting view and must be selected individually.

Products, Redemption & Memberships

Q: What is the difference between prepaid and paid product redemption?

A:

  • Prepaid Products — purchased in advance by the organization; learners can redeem without submitting payment.

  • Paid Products — added to the learner's cart and require checkout before access is granted.

Q: Does a learner need to enter a credit card to redeem an organization-sponsored PMI Membership?

A: No. A credit card is not required to activate a prepaid, organization-sponsored PMI Membership. During membership activation, learners may be offered optional auto-renewal. To activate membership without providing payment information for future renewals, select Redeem Now & Renew Later.

Note: Enabling auto-renewal does not create an immediate charge. It simply schedules renewal at the end of the membership term.

ATP Orders & Agreement Management

Q: Where can ATP administrators view order history?

A: When available, the Order History page provides a record of orders associated with the ATP's organization. The Order Number shown in Order History corresponds to the final portion of the associated Agreement ID, which can help identify the agreement created or updated by a specific order.

Note: Order History is currently available only to ATP organizations.

Q: What should I do if my organization needs additional learner licenses?

A: Contact your PMI Point of Contact to discuss:

  • Additional learner licenses

  • Expanded product allocations

  • Other agreement options

Privacy, Data & Retention

Q: What data does PMI collect and store?

A: PMI collects, processes, and stores personal data as described in PMI's Privacy Notice.

Q: Can an organization request deletion of user data?

A: Yes. Requests for user data deletion are reviewed by PMI Legal to ensure compliance with PMI's Privacy Notice and applicable requirements.

Q: How long is Partner Platform data retained?

A: Purchasing activity is retained for seven years. Inactive user data is removed only when a user submits a deletion request.

Q: Does PMI store payment information?

A: Payment information is only stored when voluntarily provided by a user for future purchases, such as membership auto-renewal. Payment details are not retained after standard purchase transactions are completed.

Support & Troubleshooting

Q: What should I do if a learner cannot find the original Partner Platform link?

A: Use the Copy Link option on the Home page and provide the organization's Partner Platform URL to the learner. If the learner still cannot access the platform, contact [email protected].

Q: Where can administrators get additional help?

Administrators can access the Help Center within the Partner Platform for:

  • User guidance

  • Platform resources

  • Product documentation

  • The Platform Tour
