WIAA Sectional Meet Entries On Swimcloud

    This is a step-by-step guide to complete your team's 2023-24 WIAA Sectional swim meet entries on Swimcloud.

    1 - Make sure you have a Swimcloud Coaching Profile

    1a - Register as a coach on Swimcloud

    You must be a registered coach on Swimcloud to manage your team, roster, and submit entries. Swimcloud customer service policy requires that we verify a coach's identity and association with a team. Please register with an email address that is found in the WIAA School Directory.

    This is very important because Swimcloud takes data integrity and security very seriously.

    1b - If you already have a Swimcloud coach account, verify your ability to log in

    If you have forgotten your password, you can reset it yourself. Or, you can always reach out to [email protected] for additional help.

    1c - Do you have a Swimcloud coach account for a club team and need access to your High School team?

    If you coach two or more teams, you can have one Swimcloud login that will work for all of your teams. To have another team added to your Swimcloud coach profile, please send an email to [email protected] and give us the team names, or better yet, the Swimcloud links to your teams.

    1d - Optional - Add your coaching staff to your team Swimcloud

    As a coach for your team on Swimcloud, you can add or remove coaches from your team at any time.

    2 - Open the meet on Swimcloud

    All WIAA teams have been pre-assigned to WIAA Sectional Meets. This means that the Sectional meet your team is assigned to will appear in your Swimcloud meet schedule.

    3 - Considerations for meet roster & relays

    The WIAA encourages the inclusion of all potential swimmers in your meet roster. For a swimmer to be part of your meet roster export from Hy-Tek, they must be entered in an individual event or listed as a relay participant (Member #1-4 or Alternate #5-8).

    When submitting your Sectional entry, there is no need to provide relay names; these must be submitted within a specified timeline. However, if you have a swimmer not participating in individual events but want them available for possible use in a relay, please add them as a relay member (#1-4) or relay alternate (#5-8) in your entry. This ensures their inclusion in the Hy-Tek Meet Database, facilitating seamless relay entry by meet administrators.

    4 - Upload your entry file to Swimcloud

    Swimcloud accepts Hy-Tek Team Manager or Team Unify entry files. Instead of emailing an entry file, you will upload your entry file to Swimcloud.

    5 - Review, edit, print, and submit entries on Swimcloud

    Once your entry file is uploaded to Swimcloud, you can review, edit, print, and even upload a new entry file.

    When your entries are complete in Swimcloud, please be sure to "Submit" them. Clicking submit will generate an email from Swimcloud back to you that contains an entry report and proof that you submitted your entries.

    Submit your team's meet result files

    Swimcloud will build your team's roster and compile your swimmer's best entry times from swim meet result files that get submitted to us.

    Here's how to create and submit meet results to Swimcloud.

    More than likely the meet administrator is using Swimcloud for meet entries to validate your swimmer's entry times. If this is the case, follow this step and submit all of your team's complete meet result files.

    Add or remove swimmers from your team's roster on Swimcloud.

    Review your roster for any possible duplicate swimmers. You are able to merge any possible duplicate swimmers found on your roster.

    As a reminder, you are able to enter a swimmer into a maximum of three (3) individual events

    Enter your relays

    You can enter relays in Swimcloud either with a "Team-Owned" time or an "Aggregate-Time" depending on what the meet entry rules allow.

    Visit the COACHES tab of the meet. Add the coaches from your staff who will be attending the meet and check if they need a deck pass or what type of communications they should receive from the Meet Administrator.

    1. You may edit your entries right up to the entry deadline.

    2. You may unsubmit your entries, make changes, and resubmit your entries right up to the entry deadline.
