PowerSchool plays a critical role in supporting the data management for the 45th and 135th-day funding reports. It tracks and compiles student enrollment, attendance, and demographic information, ensuring accurate reporting. This data is essential for determining the level of state funding allocated to schools based on student counts during these key reporting periods.

The following are the two main reports shared with the State Department for funding purposes:

  • SC06 - Membership Report: This report ensures that schools receive appropriate state funding based on the Average Daily Membership (ADM), reflecting the number of students enrolled over a specific period.

  • SC28 - Add-Ons Report: This report ensures schools receive proper funding for various Add-On categories, including programs like Dual Enrollment. Schools must continue to record all Dual Enrollment data to secure accurate funding.

  • The following information shows the weighting to each Add-On Category:

These two reports will need to be verified, signed, and uploaded in a Let's Work Smart Submission.

South Carolina Department of Education Data Certification Collection

Ed-Fi is a system that helps schools and state education agencies manage student data from various sources by using a common framework. It simplifies how schools share information by integrating data from different systems, such as student information systems (i.e. Powerschool), into one place.

In South Carolina, Ed-Fi gathers school district data into a central system called the Operational Data Store (ODS). This data is used for state reporting by transferring it to a state-level system. The ODS acts like a big data warehouse, allowing authorized people to access and analyze the information.

The South Carolina Department of Education (SCDE) will gather funding information for days 45 and 135 directly from the school district's Operational Data Store (ODS) through the Ed-Fi process.

Preparation for day 45 Funding Data Deadlines

To ensure accurate EFA funding, it is critical that all student data related to funding is entered in PowerSchool and published to the Ed-Fi API. 

These helpful steps below must be performed well in advance of reporting deadlines (at least three weeks).

  • Run the SC01 report in PowerSchool and resolve any data entry issues the report highlights. 

    • Another PowerSchool report useful for identifying issues is the “School Enrollment Audit”

  • Clean up issues presented on Level Data’s “Data Validation” tabs in PowerSchool (Start Page > Level Data heading on left-hand side > Data Validation link), particularly these tabs:

  • Students

  • EFA/EIA

  • Enrollment

  • Setup

  • Informational Lists (Missing PIP Status, Duplicate State Student ID)

Publishing EdFi Data

The Charter Institute at Erskine is currently performing the district's data republishing process on a daily basis, following standard publishing practices to ensure accurate and timely updates to Ed-Fi.

PowerSchool EdFi Error Troubleshooting

Troubleshoot errors or dependencies for any of the categories listed above by  following these steps.

  • Review Level Data validations (again!). 

  • If your Level Data validations for the related categories are clear of errors (check this overlay to identify the most relevant validations), then check the Ed-Fi Known Errors and Dependencies page for common problems.

  • Lastly, you may always contact your Charter Institute District Powerschool Administrators for further EdFi, or PowerSchool, questions.
