District Search for student

Before enrolling a new student in PowerSchool, please ensure that the student is not already registered within the district. Carefully review the entire list of students to confirm that the student is not already in PowerSchool.

If the student is found, stop here and follow the district’s transfer procedure between schools.

Enrolling a New Student in School System

Proceed to fill out the Enroll New Student page with the required fields as listed below: 

  • Last Name*, First Name*, Middle Name*: Must enter the student’s legal name as written on their birth certificate. Note: No initials for middle name unless it’s an initial on the student’s birth certificate. 

    • Enter both the legal and preferred name. If the same, copy from one field to the other.

  • DOB*: Enter the student’s date of birth.  Format: MM/DD/YYYY.  

  • Gender*: Select the student’s gender. Either Male (M) or Female (F). 

    • Enter both the legal and preferred gender. If the same, copy from one field to the other.

  • Student Number*: Leave this box blank.  PowerSchool will assign this automatically to the student account/record in PowerSchool. 

  • SSN (optional): This is optional, but you can enter the student’s social security number.  Format: ###-##-####. 

  • Phone Number: Enter the student’s contact number. Format: 803-123-4567

  • Enrollment Date*: Enter the student’s first day of school. Note: This date automatically defaults to current date.

  • Full Time Equivalency*: Select the default selection of “Full Time”.  

  • Grade Level*: Select the student’s grade level at the time of enrollment. 

  • Entry Code*: Most student’s you will select E (Eligible for State Funding).  There are some factors when a student may not be eligible for state funding and that would be determine by the district or state. Consult the district if you need to choose “EEI”.

  • Track: South Carolina reports do not utilize the Track system. Tracks are a method to identify a group of students. Consult the district if you intend to use tracks. 

  • District of Residence*: Select the district where the student resides. 

  • Fee Exemption Status: If district has not set up the fee function in PowerSchool leave it on the default value and proceed to the next PS field. 

  • School:  The School Name will display as a read only. 

  • Information for Family Match:  Select Enroll without Linking or Copying Information. If you select this proceed to the Home Address section of this page.  

Note: If you are aware of other family members enrolled in the district, select "Search For Family Members to Link to and Copy Information from." This option allows you to choose one or more search criteria to narrow your search for the family members. When multiple fields are entered, an 'or' statement is used to search across the specified fields. To initiate the family search, click the Submit button.

  • Street*, Apt/Suite*: Enter the student’s street number and home address. In the second box enter the Apartment or Suite number if applicable.

  • City*, State*, Zip*: Enter the student’s city, state, and zip of their home address. 

    Geocode: This field is read-only and is automatically generated when the address is validated. 

Additional Information: 

  • You must also select “E (Eligible for State Reporting)”for the entry code of a PK3 student. Although your school may not receive EFA funding for the 3-yr.-old students, SCDE must collect and report each year to the EOC counts for enrolled students who are three years of age. 

  • Possible reasons to select EEI (Ineligible for State Funding) include:  

    • Students (PreK 3/4 or other) only coming into the district once a week for speech, physical therapy, etc. 

    • Homeschooled students coming in to take PE.

    • High school seniors that are only taking the one class needed to graduate. 

    • Children attending a special day-care facility housed at a school 

  • You will also use the entry code of “E” for 4-year-old students; their funding depends on the type of programs in which they are enrolled (CDEP/HH/VH). 

  • Ensure that each student’s birth date is correct in PowerSchool. 

  • DO NOT ENTER a nickname in quotation marks beside the student’s name; instead, navigate to the “Nickname” field on the Demographics page so that it is a separate value. 

  • If a birth certificate is not available, use an official document sanctioned by your district/school policies. 

  • Values that are entered under the Home Address section will automatically appear on the student’s Address page. 

* Indicates field is collected for data collections.

Re-Enrolling a Student

Overview of Student Re-Enrollment

Student re-enrollment is an important process that occurs when a student wishes to continue their education at a particular institution for the upcoming academic year or semester. It involves the student and the institution working together to ensure a smooth transition from one year to the next. The re-enrollment process typically involves several steps, including locating the student record using the district search function.

Note: "Re-enrollment" refers to the idea of a student enrollment when a record already exists for the student inside the student information system. Do not use the re-enrollment process for new student records within the district.

After locating the student record, use the "Re-enrollment for a student" process to enroll the student into school.
