Multi-Factor Authentication (MFA) for Patient Family Advisors (PFAs)

    The IT department has begun turning on MFA for NSH accounts. You will receive an email to your NSH Outlook account once it's turned on for your account with a scheduled date to complete your MFA registration.

    If you do not register for MFA prior to your scheduled date, you will be prompted to complete MFA registration the next time you try to log into any Microsoft 365 service. After the scheduled date, you will not be able to access Microsoft 365 services until you complete the registration process and authenticate (verify your identity).

    What is Multi-Factor Authentication (MFA)?

    Multi-factor authentication (MFA) is a security feature that requires you to perform a second verification step to confirm your identity (in addition to a password) to gain access to Microsoft 365 services (e.g., Outlook, Teams, SharePoint, SmartSheet, etc). While it is an additional step, it takes just seconds to complete.

    Multi-Factor Authentication (MFA) helps make sure that you are the person logging into your account by using two methods of authentication, something you know (e.g., password/passphrase), and something you have (e.g., authenticator app on a mobile device).

    Why are we doing this?

    To date, hundreds of mailboxes have been compromised. Using a password alone is not enough to protect the security of user accounts. Using MFA will reduce the risk of cyber-attacks such as phishing, malware, and other attempts to take over an account.

    MFA also allows you to reset your own password if you forgot it or are locked out of your NSH account, without having to call the IT Help Desk!

    When will this start?

    How does MFA work?

    Once you finish your MFA registration, you will be asked every 7 - 30 days to verify your identity using an authentication method when accessing Microsoft 365 services . You may be asked to authenticate more often if accessing Microsoft 365 services from different/personal devices and/or locations.

    What authentication methods are available?

    You must register two authentication methods. Your first method is used to verify your identity for MFA and Self-Serve Password Reset (SSPR). The second method is used as a second verification for Self-Service Password Reset.

    Here are your options for authentication methods:

    Options for 1st Authentication Method

    • A free app installed on your personal cell phone or mobile device called Microsoft Authenticator

    Options for 2nd Authentication Method

    • A text message or automated phone call to your personal phone, OR

    • An email to your personal email address (not your NSH email address)

    PLEASE NOTE: When selecting an authentication method, it is important pick something you always have access to!

    What if I receive a notification to authenticate and I was not trying to access any Microsoft 365 services?

    If you receive a notification to authenticate when you are not trying to access any Microsoft 365 services, do not approve the authentication request.

    What if I do not have access to my second method to authenticate?

    If you do not have access to your authentication method, you can:

    • Verify your identity using the secondary authentication method you selected when setting up MFA, such as a phone call or a text message.

    • If you do not have a secondary authentication method or cannot sign into MFA, please call the Help Desk at 1-866-224-2555.

    What If I do not have access to the Microsoft Authenticator app to approve a sign in request?

    Sign into your NSH account, and when prompted to “Approve sign in request”, select “I can’t use my Microsoft Authenticator app right now”. Then use an alternate method.
