This guide explains how to schedule, join, and manage meetings within Videosign.

Meetings allow you to securely connect with participants, share documents, and complete the signing process with a full audit trail.

1. Schedule a Regular Meeting

A Regular Meeting allows you to host a live meeting with one or more participants (up to 10 participants).

During the meeting, participants can review and sign documents together.

📖 Follow the step-by-step guide:

Schedule a Meeting (from Dashboard)

2. Send a Document with Directsign

Directsign allows you to send a document to a single participant to sign without scheduling a traditional meeting.

The participant receives an email with a secure link to join the meeting room and complete the signing process.

You can track progress of all Directsign documents and send instant reminders from the dashboard.

📖 Follow the step-by-step guide:

Schedule a Directsign Meeting

3. Join a Meeting

Once a meeting has been scheduled, you and your participants can join the meeting room at the scheduled time.

📖 Follow the step-by-step guide:

Join a Meeting (Host)

4. Manage Control

Having 'Control' within a Videosign meeting allows users to perform actions, such as signing a document, starting a recording, uploading documents etc.

The Host of the meeting can give and take back Control at any time they like. Only one participant can have control at any one time.

A user must be given Control before they can sign the document.

5. Recording a Meeting

Manual Recording

You can start/stop recording a Videosign meeting at any point.

If you'd like to enable automatic meeting recordings for your account, please contact us.

📖 Follow the step-by-step guide:

Recording a Meeting

Automatic Signature Recording

Each signature is automatically recorded.

As soon as a user begins signing a document, the recording will begin. When they click 'Save changes', the recording will end.

If you manually started recording the meeting before the signing process begins, that recording will automatically stop and save when a signature takes place (as the automatic recording of the signature then begins). Once you click 'Save Changes' after signing, the automatic recording will stop. You then need to manually start recording again.

6. Edit Meeting Details

Update the date, time and participants of a scheduled meeting using the Meeting Manager.

📖 Follow the step-by-step guide:

Edit Meeting Details
