This guide explains how to upload documents, prepare them for signing, and complete the signing process during a Videosign meeting.

Documents are securely signed within the meeting room and are supported by a full audit trail and certificate of authenticity.

1. Upload a Document

Documents can be uploaded when scheduling a meeting or during the meeting itself.

Uploaded documents can be marked as:

  • To be signed – participants will be required to sign the document

  • Read only – participants can view the document but cannot sign it

Documents must:

  • Be in PDF format

  • Be under 5MB in size

Multiple documents can be uploaded to the same meeting.

📖 Follow the step-by-step guide:

Upload a Document in a Meeting

Note: Documents can also be saved as templates via Videosign Contract Creator (VSCC). Click here to learn more.

2. Add Signature Tags

Signature tags highlight where participants are required to sign a document.

Adding signature tags helps guide participants during the signing process and ensures signatures are placed in the correct locations.

Once added, the size and position of a signature tag cannot be adjusted by the signee.

📖 Follow the step-by-step guide:

Add a Signature Tag in a Meeting

Note: Signature tags can also be added to templates when creating reusable documents.

3. Sign a Document

Participants can sign documents directly within the Videosign meeting room.

There are three ways to add a signature:

• Draw your signature – use a mouse, trackpad, or touch screen
• Type your name – generate a typed signature in a handwriting font
• Upload your signature – upload a saved image of your signature

📖 Follow the step-by-step guide:

Sign a Document

4. Send a Document with Directsign

Directsign allows you to send a document to a single participant to sign without scheduling a traditional meeting.

The participant receives an email with a secure link to join the meeting room and complete the signing process.

You can track progress of all Directsign documents and send instant reminders from the dashboard.

📖 Follow the step-by-step guide:

Send a Document with Directsign

5. Finalise and Download the Document

Once all parties have signed, the meeting host must finalise the document.

This will generate the Certificate of Authenticity and audit log.

After finalising, you can download the completed document.

Your download will include:

  • The signed document

  • Signee details

  • Audit log

  • Certificate of authenticity

📖 Follow the step-by-step guide:

Finalise a Document
