This guide explains how to upload documents, prepare them for signing, and complete the signing process during a Videosign meeting.
Documents are securely signed within the meeting room and are supported by a full audit trail and certificate of authenticity.
Documents can be uploaded when scheduling a meeting or during the meeting itself.
Uploaded documents can be marked as:
To be signed – participants will be required to sign the document
Read only – participants can view the document but cannot sign it
Documents must:
Be in PDF format
Be under 5MB in size
Multiple documents can be uploaded to the same meeting.
📖 Follow the step-by-step guide:
Upload a Document in a MeetingNote: Documents can also be saved as templates via Videosign Contract Creator (VSCC). Click here to learn more.
Signature tags highlight where participants are required to sign a document.
Adding signature tags helps guide participants during the signing process and ensures signatures are placed in the correct locations.
Once added, the size and position of a signature tag cannot be adjusted by the signee.

• Type your name – generate a typed signature in a handwriting font
• Upload your signature – upload a saved image of your signature

Sign a DocumentDirectsign allows you to send a document to a single participant to sign without scheduling a traditional meeting.
The participant receives an email with a secure link to join the meeting room and complete the signing process.
You can track progress of all Directsign documents and send instant reminders from the dashboard.
📖 Follow the step-by-step guide:
Send a Document with DirectsignOnce all parties have signed, the meeting host must finalise the document.
This will generate the Certificate of Authenticity and audit log.
