Document Insights give you visibility into who views and completes your Scribes and Pages. ‍These insights help you feel confident that a certain person viewed your document and whether people find the content confusing or helpful.

What are document insights?

“It’s so frustrating when you share a Scribe with someone and hear crickets. Did they view it or not!?”

Crickets are for warm summer nights — NOT when you're trying to understand how (or if) others are engaging with your Scribes and Pages. 

So, we built document insights with visibility into who views and completes your Scribes and Pages. 

All users will see a total view count and completion rate for your Scribes and Pages, with daily counts over the last month. Pro and Enterprise users can see detailed insights on exactly who viewed the document, whether they completed it and when they last viewed it. 

With these insights, you can stop asking yourself:

  • Did so-and-so view the Scribe I sent?
  • Are people getting stuck on a certain step?
  • Is this Page still relevant and used across my company?

How to use document insights

Total Views

You can see the total views your Scribe or Page has received over its lifetime, plus a graph of daily views for the last 30 days. The graph tells you if there was a spike in views that could correspond with an announcement or timely project (such as benefits enrollment). 

Completions & Completion Rate

It’s about more than just views, isn’t it? You want to know if people are actually following the document all the way through. So, we show you the total completions and completion rate. 

For Scribes, we count a view as “complete” if 100% of the Scribe was looked at. For Pages, we count a view as "complete" if every Scribe on that Page was opened. Completion rate is simply total completions divided by total views — the higher the completion rate, the better. 

Created, Updated and Last Edited By 

This section shows when the document was created, when it was last updated and by whom. If the document hasn’t been updated in a while, you might want to review it and make sure the process is still up-to-date. 

User-Specific Insights 

Now this is the good part. Pro and Enterprise users can also see insights for specific viewers, which helps you answer more granular questions like: “Has my new hire gone through their onboarding yet?” 

User-specific insights break out into two sections: Teammates and Guests. 

When someone on your Scribe team views your document, you’ll see the first and last name of the viewer. When someone outside your team views your document, their name is anonymized. Under each viewer, you’ll be able to see when the last time they viewed was, their completion rate and how long it took them to complete it.

Tips & tricks 

#1: Invite teammates to get detailed viewer insights 

There is so much value in knowing exactly who viewed your Scribe or Page. We can give you this data for all your teammates, so make sure you invite people to join your team on Scribe. (We even have a Pro Team plan to make it most cost-effective!) 

#2: Have a low completion rate? Check out Pages. 

The most common reason a Scribe has a low completion rate is because it’s too long or confusing. In these cases, a Page is a better fit. 

Pages are custom process documents that organize multiple Scribes with text, videos and lists. If your Scribe is too long or confusing (i.e., has a lot of branching or “if-then” scenarios), consider breaking it up into a few shorter Scribes and organizing them in a Page. 

#3: Increase the number of views by sharing your Scribe or Page

Scribes and Pages are meant to be shared with your colleagues or clients. The best way to get a lot of eyes on your documents is by sharing them wherever your company stores knowledge (Confluence, Sharepoint, or any other wiki, knowledge base or internal site). 

Just make sure your Scribe or Page is set to “Shareable with Link” before sharing it in a 3rd party tool.
