By following our roles and responsibilities template, you’ll break down specific duties to increase organizational transparency.

What’s a Roles and Responsibilities Template?

A job roles and responsibilities template provides a standardized structure for every job description. That way, everyone’s duties are clearly laid out in a consistent format that’s easy to update as tasks change. This document should include several elements, such as an overview, a list of assignments and key processes.

The Importance of Defining Roles and Responsibilities

Clearly describing job duties offers the following benefits:

  • Higher efficiency: When everyone knows which tasks they’re responsible for, they’ll more likely complete them on time.
  • Better collaboration: Teams collaborate more effectively when they understand how their work overlaps with others’.
  • Aligned expectations: Clearly outlining expectations puts project managers and team members on the same page — both parties can ensure assignments are within scope.
  • Improved accountability: Defining roles early on clarifies what’s expected of team members. Project managers can use these outlines to hold employees accountable for meeting those expectations.

What To Look for in a Roles and Responsibilities Template

When drafting a list of duties and responsibilities, look for these elements in your template:

  • Clear structure: The headings, lists and tables in a job responsibilities template should be readable so the topics and subtopics are easy to scan.
  • Outline of the role's purpose: A brief introduction should add context to the rest of the document by describing the role and explaining how it fits into the team’s ecosystem.
  • List of job responsibilities: The bulk of the finished document will be a list of the duties team members are expected to perform. The template should provide a few examples and a bulleted list for you to fill out.
  • Processes and workflows: A list of SOPs will give team members in that role everything they need to get started, including processes for onboarding, collaboration and creating deliverables.
  • Contact information: Your template should list the project manager or executive who oversees the role. That way, the employee knows whom to contact with any questions or concerns.
